Summary
The Senior On-Site Services Specialist provides mail, print, document imaging, shipping, receiving, and office support services in a client environment. This role is responsible for operating high-volume mail and document processing equipment, managing daily mail and package distribution, supporting document production, and ensuring efficient office operations. The position requires strong customer service, attention to detail, technical proficiency, and the ability to perform physically demanding tasks while maintaining high service standards.
Responsibilities

  • Operate high-volume copy, document imaging, and mail management equipment.
  • Perform copying, binding, finishing, document imaging, and related production tasks.
  • Process incoming and outgoing mail, packages, faxes, and shipping requests.
  • Sort, distribute, and deliver mail and packages to designated locations.
  • Operate document imaging software, Microsoft Office applications, email systems, and document management systems.
  • Open, save, transfer, and manage electronic files according to established procedures.
  • Perform daily inspections of copiers, clear paper jams, and coordinate service requests with technicians.
  • Maintain records, billing logs, meter readings, and inventory of office supplies.
  • Respond to customer service requests and answer questions regarding job status.
  • Perform filing, document archiving, and records management activities.
  • Operate bindery and finishing equipment, including shrink-wrap machines, paper cutters, hole drillers, joggers, tape machines, electric staplers, scales, postage meters, and related office equipment.
  • Support shipping and receiving operations.
  • Assist with meeting room and conference room setup as needed.
  • Support building moves, light maintenance, and occasional housekeeping duties when required.
  • Maintain organized and well-stocked copier and mail areas.
  • Perform overtime or emergency support when required.
  • Perform other duties as assigned.
Qualifications
Minimum Qualifications
  • High school diploma, GED, or equivalent experience.
  • 1-2 years of experience in a related field.
  • Strong customer service and communication skills.
  • Basic PC proficiency, including Microsoft Office applications.
  • Strong organizational, filing, and time-management skills.
  • Ability to prioritize multiple tasks while maintaining accuracy.
  • Technical aptitude for operating office equipment, mail processing systems, copiers, scanners, and document imaging systems.
  • High attention to detail and accuracy.
  • Ability to work independently and demonstrate initiative.
  • Ability to stand, walk, bend, reach, and lift up to 50 pounds for extended periods.
  • Ability to safely move equipment on wheels as required.
  • Ability to interpret and follow work instructions in a fast-paced office environment.
Preferred Qualifications
  • Previous experience with copy, mail, document imaging, or office services.
  • Experience operating mail meters and other mail processing equipment.
  • Experience supporting shipping, receiving, and package distribution.
  • Valid driver's license if required by company policy.
