Fireside Wealth, an Ameriprise Financial practice in Lakeville, MN, is seeking a motivated, organized, and client-focused Client Service Coordinator to join our team.
This is an excellent opportunity for someone who enjoys building relationships, creating a positive client experience, and becoming a trusted part of a financial planning and tax practice. We are specifically looking for someone who is interested in building long-term expertise in this role and becoming a consistent, dependable resource for our clients and team.
This position combines client service, office management, administrative coordination, client communications, and marketing support across both the financial planning and tax practices. The successful candidate will help keep the offices organized, support day-to-day operations, communicate with clients, and ensure the team has the administrative support needed to serve clients effectively.
We are looking for someone who takes pride in doing things well, follows through on commitments, pays attention to detail, and enjoys being part of a team. The ideal candidate is looking for a long-term opportunity rather than a short-term stepping stone and is interested in developing deep knowledge of our practice, clients, and processes over time.

Over time, you will develop a strong understanding of the financial planning and tax practices, our clients, and our processes so that you can anticipate needs, solve problems, communicate effectively, and provide increasingly knowledgeable support.

Key Responsibilities
Client Support & Communications
  • Serve as a primary point of contact for clients by phone, email, and in person.
  • Respond to client questions, requests, and service needs in a timely and professional manner.
  • Build strong, professional relationships with clients and provide a consistently positive client experience.
  • Communicate with clients regarding administrative needs, requests, documentation, scheduling, and other practice-related matters.
  • Coordinate with financial advisors, tax professionals, and other team members to address client needs and ensure appropriate follow-through.
  • Recognize when client issues require escalation and ensure they are directed to the appropriate team member.
  • Maintain professional and timely communication with clients and help ensure the practice consistently delivers a high level of service.

Office Management & Administration
  • Support the day-to-day operations of both the financial planning and tax practices.
  • Manage administrative tasks, including supplies, mail, files, records, correspondence, and other office needs.
  • Maintain an organized, professional, and welcoming office environment.
  • Coordinate administrative processes and help ensure office procedures are followed consistently.
  • Assist with maintaining client and practice records and other documentation.
  • Support administrative needs for both the planning and tax practices as needed.
  • Identify opportunities to improve organization, efficiency, and workflow within the office.
  • Assist with special projects and other operational responsibilities as needed.

Client Service & Issue Resolution
  • Research and respond to client service questions and requests.
  • Coordinate with advisors, tax professionals, and other resources to resolve client issues.
  • Follow up on outstanding client needs and ensure items are appropriately addressed.
  • Assist with administrative aspects of client account and service requests as directed.
  • Maintain a high level of confidentiality and discretion when handling client information.

Marketing & Social Media
  • Assist with practice marketing initiatives and maintain current marketing materials.
  • Support the practice's social media presence and assist with creating, coordinating, and maintaining social media content.
  • Assist with client communications and other outreach initiatives.
  • Help coordinate client appreciation events, practice events, and other client engagement activities.
  • Support initiatives designed to strengthen client relationships and promote the practice.

Planning & Tax Practice Support
  • Provide administrative and operational support to both the financial planning and tax practices.
  • Assist team members with administrative projects and workflow coordination across both areas of the business.
  • Help coordinate information and communications between the practice and clients.
  • Support the team during periods of increased activity within the planning or tax practices.
  • Develop a working knowledge of the practice's processes, systems, and service model across both areas of the business.

What We're Looking For
  • Associate's degree or higher in a related field preferred.
  • Previous experience in client service, office administration, financial services, tax, accounting, or a similar professional environment.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and the ability to manage multiple priorities.
  • Exceptional attention to detail and follow-through.
  • Professional, dependable, and comfortable working with confidential information.
  • Strong customer-service mindset and genuine interest in helping others.
  • Comfortable communicating with clients in person, by phone, and through email.
  • Comfortable learning new technology, software, and business systems.
  • Experience with or interest in social media and digital communications is a plus.
  • Ability to work independently while also contributing effectively as part of a team.
  • Ability to support multiple areas of a business while maintaining organization and professionalism.
  • Interest in developing long-term expertise within a client service and office operations role in the financial services and professional services industry.

  • Classification: Non-exempt, full-time
  • Hourly Rate: $25-$30 per hour, commensurate with experience and qualifications
