Client Service Associate:

We are seeking a Client Service Associate to support our mission of helping clients achieve their financial goals. This is an opportunity to play a key role in the continued success of our fast‐growing organization. If you have a strong desire to succeed and share our vision, we would love to hear from you.

This role reports to the Chief Operating Officer and works day to day with the Client Service Team under the Client Service Manager. This role supports a team of financial advisors by delivering a high-touch client experience, keeping day-to-day office operations running smoothly, and coordinating schedules and meetings. This role is ideal for someone who is organized, service-minded, and enjoys balancing client interaction with administrative execution in a professional advisory environment.

Primary Responsibilities & Activities:

  • Provide a high-touch client experience by serving as a primary point of contact by phone, email, and in person.
  • Support client onboarding and ongoing service requests, including preparing, processing, tracking, and following up on required paperwork and tasks.
  • Coordinate with custodians and third parties to ensure timely completion and resolution of service items.
  • Manage advisor communication, calendars and schedule client and internal meetings, including confirmations, reminders, and meeting logistics.
  • Maintain accurate client records in the CRM, including notes, tasks, and key documentation.
  • Keep the office client-ready and team-ready by managing supplies, mail, vendors, and general office organization and upkeep.
  • Support preparation of meeting materials and assist with post-meeting follow-up items, documentation, and task tracking.
  • Complete a wide range of administrative support tasks for leadership, expense reporting, drafting and preparing confidential correspondence.
  • Support operations through administrative duties and process improvements.
  • Receive and sort incoming and outgoing mail
  • Assist with special projects as needed.

Knowledge, Skills & Abilities

  • Bachelor’s degree preferred.
  • Minimum 3 years of experience in administrative or client service work, preferably within financial services.
  • Highly organized with strong attention to detail.
  • Ability to prioritize work schedule and meet deadlines.
  • PC skills with proficiency in Microsoft Office Suite and familiarity with CRM platforms, Zoom, and scheduling systems such as Calendly.
  • Strong written and verbal communication skills.
  • Must demonstrate professionalism, diplomacy, and be able to work with a variety of personalities.
  • Ability to work within a team as well as independently.

Salary & Benefits

High Note Wealth adopts a market-based approach to compensation. The expected base salary range for this role is $60,000 - $80,000. However, the final base pay will be determined based on several factors, including responsibilities, job-related skills, relevant experience, location, and market conditions. Additionally, this role may be eligible for other forms of compensation and benefits, including a discretionary bonus, partial tuition reimbursement, insurance, health and dental plans, and 401(k) contributions.
