Location: Shelton, CT

Compensation: $65,000 - $80,000 (based on experience)

Status: Full-time; Hybrid (one day from home)

Key Responsibilities:

  • Diligently prioritize and manage all operational and administrative tasks
  • Anticipate advisor/team needs and handle them proactively
  • Coordinate and organize meetings with advisor, generate reports and all necessary forms; remain updated on team priorities and project timelines
  • Coordinate the advisorโ€™s and teamโ€™s calendar and schedules, ensuring efficient time management; create/complete appointment reminders
  • Develop processes to complete all business paperwork, document submissions, requests and correspondence, track and order supplies
  • Track all paperwork when documents are outstanding, track NIGOโ€™d paperwork; update pending business summary sheet for advisorโ€™s attention, track and tally all outstanding work weekly
  • Process all new business and administrative transactions in a timely manner
  • Complete all forms accurately and submit them within one business day
  • Use CRM system efficiently to schedule client meetings, marketing activities, and to enter new contacts, file and update client correspondence, statements, agreements, and so forth
  • Use Commonwealth services, such as COMMunity Linkยฎ and online trading
  • Update contact management system in Commonwealth CRM
  • Screen, organize, and manage tasks with the goal of focusing the teamโ€™s attention where it's most needed
  • Assist with data entry of all client financial information; input/update data to investment analytics system; review completed client forms for accuracy
  • Answer the phone and greet clients for team; handle all client service issues within capacity; control the lobby tv
  • Process incoming mail, prepare and send outgoing mail; perform merging for mailings and draft letters as directed by advisor
  • Create and coordinate annual client appreciation event, client gift program
  • Manage the firmโ€™s website, social media platforms, and blast email campaigns
  • Regularly review Commonwealth news items, technology updates, email communications, and report pertinent information to advisor
  • Suggest updates to systemize and. improve office functions
  • Prepare marketing material as needed; implement specific tasks on the advisorโ€™s marketing calendar
  • Log & upload Signature Guarantee Log at the beginning of each month
  • Log & upload Direct Mail Trade & Check Log at the beginning of each month
  • Log & upload Form CRS at the beginning of each month
  • Handle Tax Departments requests and inquiries Required Knowledge/Skills/Competencies
  • Ability to work independently and differentiate between matters that should be handled alone versus those that require advisor assistance
  • A conscientious nature and strong interpersonal skills
  • Ability to maintain attention to detail while under pressure, as well as to view details in the overall context of the clientโ€™s circumstances
  • Strong organizational skills; ability to identify and solve problems
  • Proficiency in using Commonwealth resources (e.g., COMMunity Link, Operations Manual, and written office procedures)
  • Ability to proactively relate client concerns to advisor
  • Ability to use multiple technology platforms e.g., Client 360, Investor 360, Wealthscape?, etc)
  • Proofreading (or quality assurance) skills to ensure that own work is in accordance with advisor or Commonwealth criteria
  • Proficient in Microsoft Office and Adobe
  • Can navigate Ring Central (phone system)

Qualifications:

  • College degree required
  • Minimum three to five years in the financial services industry
  • Minimum three years in a client-facing role
  • Outstanding communication and relationship management skills.
  • Proficiency in Microsoft Office Suite and CRM systems.
  • Adaptability in a fast-paced environment
  • Rapid learning ability, particularly with adoption of technology tools
