General Description:
The Client Services Associate oversees the administration of client services, including contacting clients for account reviews, assisting with non-trade related client requests, and processing administrative client account changes. This role supports client review preparation, CRM and reporting processes, and day-to-day service activities while developing foundational knowledge of financial planning and the firm's value proposition. This is not an advisory role.
Essential Duties & Responsibilities:
  • Acts as a liaison between clients and investment advisors.
  • Oversees scheduling of clients for account reviews, in person or remotely.
  • Prepares, submits, and follows up on new client paperwork.
  • Performs administrative support for client investment accounts, including but not limited to distributions, beneficiary changes, and contact information updates.
  • Maintains client records across various databases.
  • Monitors and responds to client and vendor emails and phone calls.
  • Assists investment advisors in preparation of materials for prospects and clients.
  • Prepares client communication materials in collaboration with advisors.
  • Maintains meeting documentation, notes, and internal follow-up items as directed.
  • Contributes positively to a collaborative, respectful, and client-focused workplace environment.
  • Participates in team meetings and supports shared goals and initiatives.
  • Embraces, promotes, and supports the direction, values, and goals of HUB.
  • Ensures a high level of customer service and client satisfaction through accuracy, responsiveness, and professionalism.
  • Monitors office supplies and kitchen inventory and is responsible for replenishment.
  • Provides coverage for other office employees when needed, related to non-trade investment activity only, through ongoing cross-training and collaboration.
  • Must be able to maintain regular and predictable attendance.
  • Other reasonable duties as assigned by your supervisor.

Work Experience & Education Requirements:
  • Prior experience in a customer support role at a financial institution or similar regulated industry required.
  • Excellent written and verbal communication skills.
  • Superior customer service and problem-solving skills.
  • Proficiency with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook).
  • Detail-oriented self-starter.
  • Ability to work in a team environment.
  • Significant skill in handling competing demands and projects.
  • Excellent organizational skills and ability to prioritize and manage responsibility.
  • Must be thorough, detail-oriented, and capable of working with confidential information.
  • Ability to function independently with minimal supervision.
  • College degree preferred by not required
