Key Responsibilities

Sales & Client Relations:

  • Prospect, solicit, and secure new business opportunities for the hotel, with a primary focus on group rooms, corporate accounts, meetings, and assigned market segments.
  • Respond to telephone, email, and walk-in inquiries regarding group room blocks, meetings, and hotel services.
  • Convert qualified inquiries into confirmed business through timely follow-up, professional communication, and strong closing skills.
  • Maintain strong relationships with clients, meeting planners, corporate contacts, and local organizations to drive repeat business and referrals.
  • Stay informed about local business activity, market trends, competitor activity, community events, and demand generators to identify new sales opportunities.
  • Conduct site tours, client appointments, sales calls, networking appointments, and property presentations as needed.

Group Sales & Event Coordination:

  • Prepare proposals, contracts, group resumes, room block agreements, and supporting documentation for confirmed business.
  • Coordinate group details with operational teams including Front Office, Reservations, Banquets, Culinary, Sales, Revenue Management, and Accounting.
  • Ensure group details, billing instructions, arrival patterns, concessions, cut-off dates, and special requests are clearly communicated and properly documented.
  • Partner with Catering and Event teams when group business includes meeting space, food and beverage, or banquet needs.
  • Monitor assigned groups from initial booking through arrival, execution, and post-event follow-up to ensure client satisfaction.

Administrative & Operational Support:

  • Maintain accurate, organized, and up-to-date sales files and electronic documentation.
  • Ensure all account, contact, activity, and booking information is properly recorded in the property's sales system, such as Delphi, SalesPro, or equivalent.
  • Complete timely follow-up on leads, proposals, contracts, traces, definite bookings, and lost business.
  • Monitor contract terms, deposits, billing arrangements, attrition, cancellation terms, and cut-off dates to ensure compliance with hotel policies.
  • Communicate clearly with hotel leadership and department heads regarding upcoming groups, VIPs, high-impact arrivals, and client expectations.

Revenue & Business Development:

  • Support hotel revenue goals by actively pursuing new accounts, increasing group room revenue, and identifying opportunities to grow overall account production.
  • Recommend strategies to:
    • Develop new market segments
    • Increase group room nights
    • Grow average daily rate where appropriate
    • Maximize meeting space and catering opportunities
    • Improve repeat business and account retention
  • Partner with the Director of Sales, Revenue Management, and hotel leadership to evaluate business opportunities and ensure sales efforts align with hotel revenue strategy.
  • Maintain awareness of need periods, compression dates, special events, and market demand to help maximize revenue opportunities.

Guest Experience & Service Excellence:

  • Maintain a high level of professionalism and service when interacting with guests, clients, meeting planners, and hotel associates.
  • Ensure client expectations are clearly understood and communicated to the appropriate hotel teams.
  • Follow up with clients before, during, and after group stays or events to ensure satisfaction and identify future opportunities.
  • Represent the hotel in a positive, professional manner at all times.
  • Remain attentive, courteous, and helpful to guests, clients, and team members.

Safety & Compliance:

  • Follow all workplace safety standards.
  • Report unsafe conditions or concerns to hotel leadership immediately.
  • Ensure compliance with hotel policies, operational procedures, brand standards, and sales documentation requirements.
  • Handle client information, contracts, negotiated rates, and billing details with appropriate confidentiality and accuracy.

Qualifications

Education & Experience:

  • High school diploma or equivalent required.
  • College degree in Hospitality Management, Business, Sales, Marketing, or related field preferred.
  • Minimum of 2-4 years of hotel sales, group sales, hospitality sales, catering sales, or related hotel experience required.
  • Prior experience with full-service hotel sales, group rooms, corporate accounts, meetings, or convention business preferred.
  • Experience working with hotel sales systems such as Delphi, SalesPro, CI/TY, or equivalent preferred.
