What You’ll Do:
In this role, you will serve as an important part of the firm's Client Relations team. Responsibilities include:
  • Serving as an initial point of contact for clients, prospects, and other callers.
  • Answering and managing a high volume of incoming calls in a timely and professional manner.
  • Routing calls to the appropriate person or department and taking accurate messages when necessary.
  • Providing exceptional customer service and assisting callers with questions or needs.
  • Prioritizing urgent calls and ensuring inquiries are addressed appropriately.
  • Maintaining detailed and accurate records of incoming calls, messages, and outcomes.
  • Entering relevant information into the firm's CRM system.
  • Retrieving and managing voicemail messages and ensuring appropriate follow-up.
  • Providing administrative support to various departments, including data entry, filing, scanning, photocopying, and other general office tasks.
  • Serving as a backup to the front desk by warmly greeting and directing clients, guests, and employees.
  • Assisting with general questions about the company's products and services.
  • Serving as a knowledgeable and helpful resource for clients and callers.
  • Providing backup support for scheduling client and prospect appointments and meetings.
  • Managing calendars and communicating appointment changes or cancellations.
  • Working closely with the Client Relations team and Office Manager to ensure a seamless client experience.
