Portfolio Administrator
Portland, ME
HeadInvest is seeking a Portfolio Administrator, to join their team in downtown Portland, Maine! This is a full-time, in-office position that plays an essential role in providing direct client services and works closely with portfolio managers and the client services team. The ideal candidate is a client-driven professional with industry experience that values a team approach and collaborative style and will ensure that HeadInvest' s clients receive prompt, courteous and professional service.
Requirements of the Licensed Portfolio Administrator:
  • Bachelor's degree, or other formal education, or minimum of 10 years of experience in lieu, in a financial service-related field.
  • A minimum of five years of proven successful client service experience in a financial service-related field.
  • Working knowledge of MS Office suite products, Black Diamond, WealthBox, Adobe and other applicable software required. Experience with Schwab or Fidelity software helpful.
  • Self-directed/intrinsic motivation; ability to work well independently with minimal to moderate supervision.
  • Demonstrated accuracy and strong attention to detail.

Responsibilities of the Licensed Portfolio Administrator:
  • Partner with Portfolio/Relationship Managers to serve assigned clients and provide support to other HeadInvest clients as needed.
  • Manage client account administration, including transfers, cash needs, gifting, tax documents, statements, and required distributions.
  • Open and close client accounts by completing paperwork, gathering documentation, and coordinating with custodians.
  • Collaborate with the Client Services Team to improve processes and ensure accurate client onboarding and account management.
  • Support compliance activities as assigned.
