Location: South Miami, FL
Job Type: Full-Time | Onsite
Pay: $24.00 – $28.00 per hour (DOE)
Schedule: Monday – Friday | 9:00 AM – 6:00 PM

We are seeking a highly organized Bilingual Executive Assistant / Client Services Coordinator to join our growing financial services firm in South Miami.


This is an excellent opportunity for an experienced administrative professional who enjoys supporting executive leadership, building strong client relationships, and keeping a fast-paced office running efficiently.


The ideal candidate is proactive, detail-oriented, and able to manage multiple priorities while delivering exceptional customer service in both English and Spanish.


Responsibilities

  • Provide executive-level administrative support to company leadership
  • Answer incoming calls and professionally assist clients in English and Spanish
  • Manage executive calendars, schedule meetings, and coordinate appointments
  • Prepare reports, presentations, correspondence, and business documents
  • Maintain accurate client records and update the company's CRM system
  • Coordinate new client onboarding and administrative documentation
  • Support business development efforts through scheduling, follow-ups, and client communication
  • Track important deadlines and ensure projects remain on schedule
  • Organize digital files and maintain accurate office records
  • Assist with daily office operations and administrative projects as needed


Qualifications

  • Fluent in both English and Spanish (Required)
  • 3+ years of experience as an Executive Assistant, Administrative Assistant, Office Coordinator, Client Services Coordinator, or similar professional role
  • Excellent verbal and written communication skills
  • Outstanding organizational and multitasking abilities
  • Strong attention to detail and ability to prioritize competing responsibilities
  • Proficient with Microsoft Office (Excel, Outlook, Word, and PowerPoint)
  • Experience with CRM platforms such as Salesforce, HubSpot, Zoho, or Microsoft Dynamics is a plus
  • Professional, dependable, self-motivated, and comfortable working in a fast-paced office environment
