Job description

The Sales Operations & Client Development Coordinator at SAIM provides operational, administrative, and client-development support to a senior sales executive and the broader organization. This role helps keep opportunities moving efficiently from prospecting and initial engagement through proposals, contracts.

The successful candidate will be highly organized, proactive, professional, and comfortable communicating with prospects, clients, executives, and internal teams.

Key Responsibilities:

  • Provide day-to-day operational and administrative support to senior sales leadership.
  • Coordinate prospect meetings, demonstrations, follow-up activities, conferences, and client communications.
  • Maintain accurate CRM records, opportunity stages, contacts, activities, next steps, and pipeline information.
  • Monitor opportunities and follow-up requirements to help maintain sales momentum.
  • Prepare presentations, proposals, pricing documents, meeting materials, and other customer-facing sales collateral.
  • Track proposals, contracts, approvals, signatures, customer commitments, and key deadlines.
  • Conduct prospect and account research and assist with targeted outreach and lead-development activities.
  • Communicate professionally with prospects and clients regarding meetings, materials, follow-up items, and routine questions.
  • Prepare pipeline summaries, sales reports, meeting recaps, and activity updates.
  • Coordinate with Marketing, Deployment, Project Management, Finance, and Client Support throughout the sales process.
  • Help ensure a smooth transition of closed opportunities from Sales to implementation and client support.

Required Experience:

  • 2+ years of experience in sales support, sales operations, account coordination, business development, customer service, or executive administrative support.
  • Experience supporting a senior salesperson, account executive, business development leader, or sales team preferred.
  • Experience using a CRM platform such as HubSpot, Salesforce, Microsoft Dynamics, or a comparable system.
  • Experience preparing professional proposals, presentations, reports, or customer-facing materials preferred.

Required Education:

  • Associate or bachelor's degree in Business, Marketing, Communications, or a related field preferred.

Required Skills and Abilities:

  • Excellent organizational skills, attention to detail, and follow-through.
  • Strong written and verbal communication skills.
  • Professional and confident communication with prospects, customers, executives, and internal stakeholders.
