Job Description
Our client is seeking a proactive and customer-focused Office Administrator to serve as the face of their growing office while ensuring day-to-day operations run smoothly. This highly visible role combines front desk reception, office administration, facilities coordination, and workplace support, requiring someone who thrives in a fast-paced environment and takes pride in creating an organized, professional, and welcoming workplace. The ideal candidate is a self-starter with exceptional organizational skills, a service-oriented mindset, and the ability to anticipate needs, solve problems, and support both employees and visitors with a high level of professionalism.

Responsibilities:
  • Serve as the primary point of contact for visitors, clients, vendors, and employees, creating a professional and welcoming office environment. 
  • Greet and screen visitors, manage office access, and direct guests to the appropriate team members. 
  • Coordinate incoming and outgoing mail, shipping, deliveries, and high-volume printing and document preparation. 
  • Support daily office operations by monitoring supplies, ordering inventory, and coordinating with vendors and service providers. 
  • Ensure conference rooms, common areas, break rooms, and shared spaces are clean, organized, and meeting-ready. 
  • Identify and coordinate resolution of office maintenance and facilities issues. 
  • Assist with meeting logistics, including room setup, food and beverage coordination, and event support. 
  • Provide administrative support to office staff, including scheduling assistance and other ad hoc projects. 
  • Manage multiple administrative requests while ensuring timely and accurate completion. 
  • Maintain a safe, secure, and organized workplace by monitoring office activity and addressing operational needs proactively. 
  • Build positive relationships with employees, vendors, and visitors while delivering exceptional customer service. 
  • Support office growth and expansion initiatives by helping maintain an efficient and well-organized workplace. 
  • Perform additional office administration, facilities, and workplace support duties as needed.

Qualifications and Requirements:
  • Previous experience in office administration, office management, reception, workplace services, or administrative support. 
  • Strong customer service skills with the ability to serve as a professional and welcoming first point of contact. 
  • Excellent verbal and written communication skills. 
  • Highly organized with exceptional attention to detail and the ability to manage multiple priorities. 
  • Proactive, self-motivated, and able to work independently with minimal supervision. 
  • Strong problem-solving skills with the ability to anticipate office needs and take initiative. 
  • Experience coordinating office operations, vendors, supplies, shipping, mail, and general facilities support. 
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel. 
  • Ability to maintain confidentiality and handle sensitive information with professionalism and discretion. 
  • Team-oriented with a positive attitude, low ego, and a collaborative approach to supporting others. 
  • Comfortable working in a fast-paced, onsite office environment five days per week. 
  • Ability to occasionally lift and move office supplies, packages, or equipment. 
  • Experience supporting office expansions, workplace projects, or facilities operations is a plus. 
  • Experience as an Office Manager, Office Administrator, Receptionist, Workplace Experience Coordinator, or Office Services Coordinator is preferred.
