General Statement of Job
The Part-Time Clerical Assistant provides confidential administrative and front office support to the Principal and school staff. This role is responsible for ensuring the smooth and professional operation of a busy school office while delivering excellent customer service to students, parents, staff, and visitors. The position requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities
Administrative & Office Support
  • Serve as administrative support to the Principal, including managing correspondence, preparing documents, and assisting with reports.
  • Screen incoming calls and visitors, directing inquiries appropriately and providing backup reception support.
  • Maintain strict confidentiality regarding school operations, personnel, and student information.
  • Coordinate office procedures to promote efficiency and a professional environment.
  • Assist with scheduling, organizing, and setting up meetings and events, including logistics and materials.

Front Desk & Customer Service
  • Greet and assist visitors, ensuring a welcoming and professional front office experience.
  • Answer and route incoming telephone calls; respond to routine inquiries and provide accurate information.
  • Address and help resolve complaints or concerns, escalating issues when appropriate.
  • Provide information and assistance to students, parents, and staff.

Clerical & Operational Support
  • Perform general clerical duties including typing, filing, data entry, and recordkeeping.
  • Complete forms, notices, and routine correspondence with accuracy.
  • Order, maintain, and distribute instructional and office supplies; manage supply inventory and organization.
  • Support teachers and staff by providing necessary forms, materials, and information.
  • Assist in maintaining a positive, organized, and efficient office environment.

Additional Responsibilities
  • Assist with special projects and school initiatives, including recognition events or activities.
  • Demonstrate strong interpersonal skills in all interactions with the school community.
  • Refer inquiries to appropriate personnel when necessary.
  • Recommend improvements to office procedures and workflow efficiency.

Minimum Qualifications
  • High school diploma or equivalent required.

Work Schedule

Minimum Qualifications or Standards Required to Perform Essential Job Functions
