Office Administrator

Location: Headquarters – Athens, GA Job Family: Specialist Reports To: Sr Manager of Culture & Communications Exemption: Exempt

Position Purpose: The Office Administrator keeps our operations running smoothly while fostering a positive, people-first workplace. This role supports senior leadership, manages daily office needs, and drives culture initiatives that strengthen engagement, recognition, and community.

Duties and Responsibilities

Administrative assistance for SVP and CEO:

  • Organizing files, invoices, purchase orders and receipts
  • Ensuring all calendars are accurate and organized
  • Scheduling and organizing meetings and events – including ordering food, set up/breakdown, and company-wide event support
  • Lead coordination for all production and other large scale internal meetings, including identifying dates, scheduling participants, booking and setting up conference spaces, coordinating food/logistics, and compiling/presenting meeting materials
  • Serve as the central organizer for cross-functional meeting logistics, ensuring information is gathered from stakeholders and presented in a clear, organized format
  • Booking travel arrangements
  • Attending and cleaning AI notes for PIE meetings and other meetings as requested

Office Management:

  • Greeting clients and visitors when they arrive at the office
  • Serve as the primary point of contact for in-person cold calls and walk-in inquiries, directing visitors to the appropriate HQ contact and partnering with warehouse staff to ensure clear handoff processes
  • Answer the phone, listen to voicemails, return phone calls
  • Respond to emails sent to curious@ccbeerco.com
  • Ensuring the office remains clean and organized
  • Operating and maintaining office equipment such as computers and copiers
  • Checking and maintaining office supply for HQ and SM inventory, ordering new supplies as needed
  • Order and maintain basic safety supplies, including safety glasses, earplugs, and first aid materials
  • Researching and evaluating the potential of new office technology purchases
  • Act as point of contact for conference room functionality and AV needs, including identifying improvement opportunities and coordinating upgrades or repairs
  • Handle all shipping and receiving + physical mailbox
  • Point of contact for Clearlink, Character Built, Landscaping/tree removal, Superior Air, Fast Signs, Building Management, Aramark, Spotless Cleaning Solutions
  • Manage conference rooms calendars
  • Special event assistance

HR and Culture Support:

  • Collaborate with the Sr. Manager of Culture and Community to plan, coordinate, and execute employee engagement events, social activities, and celebrations
  • Help promote and reinforce the company's values through internal initiatives, programs, and communications
  • Facilitate employee recognition programs, ensuring employees feel appreciated and motivated
  • Assist in organizing volunteer or community outreach opportunities that align with the company's community-driven goals
  • Assist with onboarding new hires, ensuring a smooth transition into the company
  • Support in managing internal communication platforms, newsletters, and other office-related documents
  • Support interview scheduling
  • Support phone screenings as needed

Requirements:

  • Bachelor's degree in business administration, communications, or related field.
  • Minimum of 2+ years of experience in corporate communications, administration, or a related role.
  • Strong leadership skills with experience in managing cross-functional teams and driving collaboration.
  • Superb communication and interpersonal abilities, with the capacity to engage and inspire both internal and external stakeholders.
  • Demonstrated ability to handle highly sensitive and confidential information with a high degree of discretion, professionalism, and integrity
  • Knowledge of the craft brewing industry or related sectors is a plus.
