Summary
The Claims Assistant supports the administration and resolution of cargo and commercial motor vehicle accident claims. This role is responsible for claim intake, documentation, investigation support, file management, reporting, and stakeholder communication to ensure claims are handled accurately, efficiently, and in compliance with company policies and insurance requirements. The ideal candidate is highly organized, detail-oriented, bilingual in English and Spanish, and able to manage multiple priorities in a fast-paced transportation environment.
Key Responsibilities
  • Assist with the intake, setup, tracking, and administration of cargo and accident claims.
  • Maintain complete and audit-ready claim files, ensuring all required documentation is collected and organized.
  • Coordinate with drivers, customers, carriers, insurance partners, repair facilities, attorneys, law enforcement, and internal teams.
  • Support investigations involving cargo loss, damage, shortages, delays, vehicle accidents, property damage, bodily injury, and liability claims.
  • Gather and review supporting documentation, including BOLs, PODs, police reports, driver statements, photos, repair estimates, and insurance records.
  • Track claim activity, repair progress, claim milestones, and settlement status.
  • Maintain claim logs, databases, and reports; analyze trends and support operational and safety improvements.
  • Provide claim status updates and ensure timely follow-up on outstanding items.
  • Translate verbal and written communications between English- and Spanish-speaking stakeholders as needed.
  • Ensure compliance with company procedures, insurance requirements, confidentiality standards, and reporting guidelines.
  • Support after-hours accident response and special projects as required.

Required Qualifications
  • High School Diploma or equivalent.
  • Minimum 2 years of experience in transportation claims, insurance, logistics, fleet operations, or a related field. Experience in a trucking, transportation, carrier, or logistics environment.
  • Bilingual in English and Spanish strongly preferred (read, write, and speak).
  • Strong Microsoft Office skills, particularly Excel.

Preferred Qualifications
  • Associate's Degree.
  • Experience with cargo claims and commercial vehicle accident claims.
  • Knowledge of FMCSA regulations.
  • Experience working with insurance carriers, third-party administrators, transportation management systems (TMS), and claims management software.
  • Familiarity with Bills of Lading, Proofs of Delivery, cargo liability, and commercial auto insurance claims.
