Position Overview

The Logistics Claims Specialist is responsible for managing the end-to-end claims process for damaged or lost finished goods vehicles during transportation. This role requires attention to detail, strong organizational skills, and the ability to navigate multiple systems to ensure timely claim resolution and cost recovery.

Key Responsibilities

Claims Investigation & Documentation

  • Monitor warranty claims from dealers through Squid Power BI reports, filtering for logistics-related failures (MPL responsibility code, carrier handling failures)
  • Investigate total loss and missing unit incidents reported by outbound logistics
  • Collect and verify all required documentation for claim submissions

Claims Processing & Filing

  • Create and maintain organized claim folders using standardized filing structure
  • Complete detailed claim forms with accurate shipment, product, and damage information
  • Calculate total claim values including product costs, repair expenses, and administrative fees 
  • Submit complete claim packages with all supporting documentation to Penske Logistics
  • Track claim submissions and maintain confirmation records

Data Management & System Navigation

  • Proficiently navigate multiple platforms including:
    • Digital Twin portal for BOL and damage photos
    • CRM (Dynamics) for case documentation
    • Penske Logistics portal for shipment tracking and origin/destination details
    • Polaris Dealer portal for price lists and repair invoices
    • Power BI (Squid) for warranty claim analysis
  • Extract and compile data from various sources to build comprehensive claim files

Claims Monitoring & Resolution

  • Monitor weekly Penske claims status reports to track claim progress
  • Escalate claims aging into 120+ day bucket requiring carrier follow-up
  • Manage claim lifecycle from submission through payment receipt

Financial Processing

  • Process received claim payments by correctly coding checks to appropriate GL accounts
  • Prepare checks for mailing with proper coding documentation 
  • Arrange USPS certified mail with signature required for all check deliveries
  • Maintain organized files of check stubs, claim forms, and certified mail receipts for audit trail
