Administrative Assistant

Overview: The Administrative Assistant provides comprehensive support to manager, executive leadership and various committees, ensuring efficient operations, accurate documentation, and effective communication across the organization. This role requires a detail-oriented, proactive professional who can manage multiple priorities and maintain confidentiality.

Responsibilities:

  • Coordinate and schedule meetings for executive leadership, including committees assigned and others as needed
  • Manage large-scale meetings and coordinate internal/external participants, as assigned
  • Maintain and update executive calendars as needed.
  • Assist with travel and restaurant reservations
  • Circulate, finalize, and collect signatures for documents as requested
  • Record meetings and ensure accurate retention of approved policies and minutes in Smart Sheet and for assigned committee meetings and others as needed.
  • Assist with preparation and circulation of materials for meetings
  • Process expense reports and invoices for executive leadership team.
  • Assist with regulatory exams and internal audits by gathering and providing requested executive meeting materials as needed.
  • Organize departmental mail and route pieces to appropriate leaders.
  • Order and organize supplies for executive area and pantry
  • Serve as in-house notary as needed.
  • Support Communications with executive correspondence as requested.
  • Monitor shared inboxes, act when required or ask manager as needed.
  • Compile and circulate materials for meetings and presentations.

Requirements:

  • Minimum of 3 years of experience in executive or committee-level administrative support.
  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with calendar management, document retention systems (e.g., Smart Sheet), and Microsoft Office Suite
  • Ability to maintain a high level of confidentiality and utilize discretion to handle sensitive information.
  • Notary certification.

The pay range for this position is between $21.15-33.03 hourly. Actual hourly pay offered may vary depending on a number of factors such as job-related knowledge, skills, experience, and location. Employees in this position may also be eligible for overtime, discretionary bonus, 401(k) with an 6% employer match per pay period. Benefits for this position include Medical, vision, dental, life, and disability insurance, flexible paid time off and 11 paid holidays annually.
