Job Title: Subscription & Print Operations Associate

Department: Circulation

FLSA: Non-Exempt

Compensation Range: $22-25 per hour, plus bonus opportunity

Department Overview:

The Circulation department is responsible for generating revenue from readers, managing subscriber relationships and print distribution across Schneps Media's publications. The team's main objectives are to grow paid subscriptions, maintain accurate subscriber and mailing data, ensure timely and reliable delivery of print publications, and provide responsive customer service to subscribers and advertisers alike.


Position Summary:

This role is responsible for the Company’s subscription management and print circulation across all of its subscription publications. This role handles subscription operations, print logistics, vendor communications, and internal coordination, ensuring efficiency, accuracy, and growth across the print portfolio.
Key Responsibilities:

  • Subscription Oversight: Manage subscriptions and the subscriptions platform for all print publications, ensuring accurate tracking, payments, fulfillment, renewals, removing returned mailing addresses, and overall reporting. Work collaboratively with and assist general admin with phone support and email support as needed.

  • Subscriber Database Management and Upkeep: Maintain and update database of subscribers by keeping all contact information — email, phone number, and mailing address — current and accurate in the SimpleCirc/Monday or any other platform as needed. Properly file and organize mailing labels in Drive, and log all subscriber phone calls along with any other relevant updates to ensure a complete, reliable record. 

  • Customer Service & Communication: Serve as the central point of contact for all subscription-related inquiries, ensuring efficient routing and resolution within two (2) business days. Provide any issues, concerns, and successes in weekly updates regarding customer service for the previous week.

  • Printer & Post Office Liaison: Communicate with the printer and post office for all required documentation and related circulation issues, including processing weekly mailing lists and managing print orders including office copies, promotional copies, and community guides. Communicate with the post office, ensure annual reports are filed, and mail is picked up. Liaise with printing plant(s) and post offices to ensure timely delivery of publications.

  • Circulation Growth & Strategy: Develop and implement strategies to grow paid print subscriptions and increase overall circulation, achieving growth goals as set by management.

  • Cataloging & Archiving: Maintain a comprehensive, organized library of publication copies across all Long Island publications and special issues.

  • Print & Production Coordination: Coordinate with editorial, production, sales manager, and design teams, ensuring subscription promotional covers are published in alignment with print schedules and standards.

  • Promotional Mailing List Maintenance: Ensure promotional mailing lists are de-duplicated and updated so current subscribers do not receive promotional covers. Monitor and track the mailing list to ensure residents receive an equal number of sample copies each year.

  • Reporting: Provide your manager with a weekly report, every Monday, detailing revenue, subscriber growth/decline, and any issues that need to be addressed from the previous week’s subscription activities.

  • Other Duties: As assigned by Management


Required Qualifications

  • Education: High school diploma required; Associate's or Bachelor's degree preferred.

  • Experience: 1-2 years of experience in subscription management, circulation, customer service, or a related administrative role, ideally within publishing or media preferred.

  • Technical Skills: Strong data entry and database accuracy skills; comfortable managing large volumes of subscriber records, mailing lists, and reporting.

  • Software Knowledge: Experience with subscription/circulation management platforms (SimpleCirc experience a plus); proficiency in Google Drive, Microsoft Excel, CRM, and general office software.

  • Industry Knowledge: Familiarity with print production and mailing/postal requirements (e.g., USPS periodicals mail, annual filings) is a plus.

  • Core Competencies: Strong attention to detail and organizational skills; clear written and verbal communication for customer service and vendor coordination; ability to manage multiple deadlines across print schedules; problem-solving and follow-through on subscriber and vendor issues.

  • Team Player: Works well and communicates effectively with team members.
