Job description

Job Summary

English Lutheran Church is hiring an Administrative Assistant - join our team today! The Administrative Assistant will serve as receptionist, provide office administrative support for members, staff, and visitors, and foster a welcoming environment for all who visit English Lutheran Church. We offer competitive pay, based on local wages and trends within religious institutions, as well as paid holidays, vacation, and personal time off. This position is part-time, up to 30 hours per week. It is a typical Monday-Friday office hours schedule, with hours anytime between 8:00-4:00pm. The schedule will be worked out with the Office Manager, although required work hours include Tuesday afternoons (year-round). Hours may vary based on school year (more hours) vs. summer (less hours) but may not exceed 30 hours per week consistently.


Responsibilities

  • Serve as first point of contact for members and visitors, providing a warm welcome. 
  • Maintain databases in ICON CMO, including membership records, mailing lists, class lists, attendance/communion records. 
  • Respond to requests for emergency financial assistance. 
  • Create and print bulletins and other materials for weekend worship, funerals, weddings, ensuring volunteers have information needed. 
  • Assist with communications (printing and assembling bulk mailings, special bulletins, e-news, website updates, graphic design, social media). 
  • The Office Manager handles most financial duties; however, the Administrative Assistant may help with tasks such as writing checks, entering donations, etc. 
  • In conjunction with the Office Manager, maintain an accurate church calendar, office supply inventory, and schedule maintenance of office machines. 
  • Other duties as assigned by the Office Manager or Pastor. 


Qualifications

  • Ability to exude warmth and convey a spirit of hospitality. 
  • Ability to maintain confidentiality in all manners. 
  • Ability to communicate verbally and in writing. 
  • Graphic design skills preferred, but not required. 
  • Proficiency in keyboarding skills, office machines, telephone systems, Microsoft Office Suite; willingness to learn Canva, Constant Contact, Weebly, social media, and church software (ICON CMO). 
  • Ability to meet deadlines, prioritize, and multi-task. 
  • Basic understanding of how an office functions and ability to learn new concepts quickly with high attention to detail. 
  • Post-secondary study in administrative or secretarial skills, or equivalent experience (3-5 years) is required.
