Help Wanted – Administrative & Operations Support | Hanania Acura of Orange Park

Hanania Acura is seeking a highly organized, detail-oriented, and proactive individual to join our team in a key support role for Acura. This position requires multitasking across departments and locations, with hands-on involvement in dealership operations, vendor management, and compliance.

Primary Responsibilities:

  • Daily management of CIT schedules in CDK and DealerOps

  • Submission and tracking of factory rebates (new car) and maintaining accurate rebate schedules

  • Address aged balances or failed claims

  • Maintain DMV tag/title supplies for F&I; assist with audits

  • Manage accounts receivable schedules in DealerOps; organize deposit and overpayment documentation

  • Process check requests or credit card refund forms for aged deals

  • Perform daily operational run between Audi Jacksonville & Audi Orange Park (picking up deal folders, checks, mail, etc.)

  • Create and upload two HRIZN-generated blogs daily (one per store) to Dealer.com

  • Produce monthly used car inventory reports (over $50K and over 100K miles)

  • End-of-month deal reconciliation and cashier receipt verification

Software & Program Knowledge:

  • CDK (F&I, Sales, AGRI, DSDA, Schedules)

  • DealerOps (F&I, Accounting, Admin)

  • Dealertrack & DLR DMV (Vehicle/Deal Inquiry)

  • HRIZN (AI blog generator)

  • Dealer.com (Web content updates)

  • General office equipment and systems, including supply ordering platforms

Additional Duties:

  • Manage and liaise with office vendors (coffee, cleaning, shredding, toner, etc.)

  • Maintain and replenish supply closet and office materials

  • Assist with vendor quotes and yearly compliance postings

  • Help with holiday decorating (including the dealership Christmas tree!)

  • Support deal compliance processes and help resolve "kicked" deals

  • Notary Public certification is a plus

Qualifications:

  • Prior dealership experience or familiarity with F&I and accounting processes

  • Strong understanding of dealership software systems

  • Ability to work independently, travel between stores daily, and manage time efficiently

  • Strong communication skills and an outgoing, customer-friendly presence

  • A desire to learn, grow, and build a long-term career in automotive

  • Solid work ethic and a positive attitude

  • Ability to work evenings and weekends

  • Valid driver’s license

  • Must pass a background check and hair follicle drug screen
