Job description

POSITION SUMMARY:

Snow Mountain Ranch is hiring two Guest Registration Managers focusing on Night Audit responsibilities interested in working four 10-hour shifts each week. This position supports the work of the YMCA of the Rockies, Snow Mountain Ranch, which operates a mission-based family and group conference and retreat center, and a residential camp, serving more than 50,000 annually.

The Guest Registration Managers - Night Auditor at Snow Mountain Ranch will be scheduled four 10-hour shifts each week, allowing for three full days off to enjoy the many recreational opportunities in Grand County, Colorado.

The Night Audit responsibilities include running computer programs and reports, auditing daily accounting transactions, providing guest services between 9:30 PM and 8:00 AM, such as answering the switchboard, checking-in late arrivals, dispatching the appropriate staff for service requests and communicating with emergency dispatchers and staff for the appropriate responses to medical, fire, law enforcement emergencies, power outages, etc.

The Guest Registration Manager responsibilities include providing training and supervision of the Front Desk staff during hours of overlap, especially as it relates to conducting nightly income audits, making corrections to guest folios, communicating with AM/PM shift staff to ensure shift checklists have been/are being completed, and to provide a bridge between the AM/PM to ensure everyone knows what they need to know for the continuity of guest service at the Front Desk.

ESSENTIAL FUNCTIONS:Night Audit
  • Able to work alone and remain alert between the hours of 9:30 PM and 8:00 AM for four 10-hour shifts per week; shifts may include weekends and holidays.
  • Operate Property Management System and associated credit card batching functionality as part of the overall night audit process.
  • Apply good accounting principles in reviewing and reconciling daily financial transactions which include tasks such as counting operational cash, finalizing bank deposits and running end-of-day reports
  • Assist with emergencies and other major concerns involving guests and employees that arise during assigned shifts.
  • Accurately communicate in verbal and written forms, including the appropriate completion of emergency and incident reports, service logs and emails to management regarding concerns and significant events that occurred during the shift.
  • Operational knowledge of two-way radios and the switchboard, including correct telephone etiquette and processing guest and staff requests
  • Act as a tactful liaison between group leaders/guests and all departments providing service to them
  • Be able to explain contract details and billing to guests and group leaders
  • Appropriate and timely handling of emergencies
  • Review and understand computer-generated reports and able to update Excel spreadsheets and logs.
  • Operate office printing, postage equipment and process orders and invoices for office supplies.
  • Complete month-end and year-end auditing process
Guest Registration Manager
  • Assist with hiring, supervising, scheduling and evaluation of up to 15 Guest Registration seasonal staff and volunteers.
  • Assist with training for new staff working the Front Desk, particularly in areas related to Night Audit/Night Shift coverage, income audit, and invoice reconciliation.
  • Provide oversight on Night Audit responsibilities, keeping supervisors informed of issues and challenges that come up overnight.
  • Cover primarily the PM/Income Audit shift, but may occasionally be called upon to cover management of other shifts.
  • Complete or supervise completion of an audit that includes, but is not limited to, counting cash boxes, handling large sums of revenue, and making nightly deposits. Confirm the accuracy of the income that has been deposited and run end-of-day reports.
  • Process petty cash and payroll advance requests.
  • Must be effective at understanding and resolving guest concerns.
  • Work with management and director-level staff to update and develop various training information and programs for the Guest Services Department.
  • Ensure that the Business Office vault is secure and proper balance is maintained.
  • Ensure accurate charges to guest folios, as well as timely billing when necessary.
  • Ensure cashiers accurately compile daily bank deposits.
  • Contribute to the building of an environment that promotes consistent guest satisfaction.
  • Assist supervisors with completion of appropriate paperwork (such as Personnel Action Forms, staff evaluations, and disciplinary actions) and communicate with Human Resources to maintain accurate staff information.
  • All other duties as assigned.
REQUIREMENTS/QUALIFICATIONS:
  • Associate’s degree or college-level coursework in a hospitality or business/accounting related field preferred, but candidates with a combination of education and experience will also be considered.
  • At least one year of management experience, preferably in the hospitality or business/accounting industry, strongly preferred. We are willing to train the right person in Night Audit responsibilities.
  • Ability to read, write, speak and understand English clearly, concisely, and fluently. 
  • Reliable attendance. Shifts covered by the person in this position are difficult to cover on short notice. The employee must have consistently good attendance and provide advanced notice as much as possible for time off. The employee must regularly arrive on time for their shift.
  • Able to operate common office equipment (copiers, printers, switchboard, business radio, etc.)
  • Perform any other relevant and reasonable tasks as assigned.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

  • Must be able to stay alert while working an overnight shift between the hours of 9:30pm and 8am.
  • Must be able to sit and stand, get up and down frequently, and walk around during a shift
  • Ability to climb stairs, kneel, stoop and bend.
  • Ability to lift and move up to 30lbs to a height of up to 4 feet.
