Description

The Legionaries of Christ North American Territory warmly invites you to consider joining our team as the Assistant to the Territorial Secretary for Ecclesial Relations Records. Our mission is to reveal Christ's profound love, nurture dynamic Christian leaders, and build His Kingdom by helping individuals discover His transformative love, develop their gifts, and bring His light to the world. We are a dedicated and passionate community, and we seek a compassionate and dedicated professional to work closely with our Legionaries, ensuring they are supported in their compliance with diocesan requirements. 


The Assistant to the Territorial Secretary of the Legionaries of Christ helps prepare petitions to dioceses for Legionaries who wants to do ministry in the North American Territory. In some cases, this involves notifying dioceses of the mere presence of visiting Legionaries.


The Assistant verifies that Legionaries have fulfilled safe environmental standards. These standards include reading the Legionary Code of Conduct, having a current background check completing a VIRTUS course and keeping up with its monthly training bulletins. Along with the Code and VIRTUS requirements, Legionaries from outside the territory need to present a certificate of aptitude from their own territory.


The key responsibilities for the position include:

Managing Ministerial Activity Petitions from Legionaries

a) Maintaining order and consistency in tracking frequent petitions and sending letters to Dioceses promptly.

b) Confirming preliminary approvals - from a Legionary's immediate superior as well as from pastors or retreat centers, etc.

c) Anticipating the needs of chanceries. This requires a good ecclesial sense. 

d) Responding to inquiries from Legionaries and consecrated personnel as well as consulting with the Territorial Secretary, Safe Environment Director and other parties.

e) Helping Legionaries to navigate the various requirements of dioceses. 

f) Discerning with the Territorial Secretary when a petition needs to be declined, based on the specific restrictions of a diocese

g) Revising the annual reports to the diocese submitted by key localities. 


Archives and records: 

a) To archive copies of letters and responses from dioceses in the cloud and in hard copy. 

b) To forward responses to the appropriate Legionaries.

c) Some correspondence (for example, chancery responses regarding habitual faculties or permissions) needs to be uploaded into the BIRP, an in-house database. 

d) To use Monday.com and Excel sheets to keep track of the specific requirements of certain dioceses, as well as the list of priests with habitual faculties or permissions outside their diocese of residence. The sheets also note the restrictions or even prohibitions in place for Legionaries.

e) Similar data for those outside the territory can be accessed through a special database. 

f) An Access file helps track the dates of Legionaries' VIRTUS certificates, background checks, code-of-conduct acknowledgment forms, and/or certificates of aptitude. All those documents are also stored in the cloud.


The Assistant to the Territorial Secretary needs to develop and nurture strong relationships between the congregation, the bishops, and dioceses by cultivating professional ties with the key secretaries and vicars via e-mail.

Like any good relationship, there is a need for constant monitoring and strengthening. Transparency is the key.


Position Details

  • Living in the Atlanta, GA area is preferred.
  • Position requires to be in Atlanta area at least twice per month for several days
  • Full-Time
  • Hybrid (Mostly Remote with some time at office)
  • Some Travel Required if living outside of the Atlanta area.

Requirements

Required skills and qualifications

An eye for details and a knack for teamwork and collaboration.

A strong love for the Church and a desire to help priests and religious live up to the standards that ensure safe environments and robust collaboration with dioceses.


Four or more years of experience in an administrative role reporting directly to upper management

Excellent written and verbal communication skills

Strong time-management skills and an ability to organize and coordinate multiple concurrent projects

Proficiency with office productivity tools and an aptitude for learning new software and systems

Flexible team player, willing to adapt to changes and unafraid of challenges

Ability to maintain confidentiality of information related to the company and its religious

Experience in developing internal processes and filing systems
