Office Manager
About Us

As our Office Manager, you are the operational backbone of the clinic: you keep the front office running smoothly, own the billing and insurance process end to end, and set the tone for a warm, professional patient experience.
We are looking for an organized, detail-oriented, and personable leader who takes ownership, thrives in a fast-paced patient-focused clinic, and wants to grow with us.
Responsibilities
  • Oversee daily front-office operations and serve as the go-to problem solver for staff and patients
  • Manage the full medical billing cycle: charge entry, claim submission, payment posting, denials and rejections, appeals, and patient statements
  • Verify insurance benefits, obtain and track authorizations, and clearly explain coverage, copays, deductibles, and patient responsibility
  • Monitor accounts receivable and follow up on aging claims and outstanding balances
  • Collect patient payments, manage financial conversations, and set up care/payment plans
  • Greet patients and manage check-ins with a warm, professional attitude
  • Handle scheduling, patient onboarding, and appointment confirmations
  • Manage incoming calls, emails, and clinic communications
  • Enter and manage patient information in the HSWorx EMR system
  • Assist with marketing events, screenings, and community outreach
  • Maintain office organization, supplies, reporting, and general clinic support

Required Qualifications
  • Prior medical billing experience (claim submission, EOBs, denials/appeals, and A/R follow-up)
  • Familiarity with billing and coding basics such as CPT and ICD-10 codes and superbills
  • Outstanding customer service and communication skills
  • Highly organized, detail-oriented, and reliable, with the ability to manage multiple priorities
  • Comfortable owning financial transactions, collections, and scheduling
  • Proficient with EMR/practice-management software (we use HSWorx; training provided on our system)

Preferred Qualifications
  • Insurance experience with strong command of industry nomenclature and vocabulary (for example: verification of benefits, in-network vs. out-of-network, coinsurance, allowable amounts, clearinghouses, ERA/EOB, prior authorization, timely filing)
  • Chiropractic or physical medicine billing experience (visit limits, therapy and modality billing, medical-necessity documentation)
  • Prior supervisory or office-management experience
  • Bilingual (English/Spanish) strongly preferred
  • Positive, professional, and team-oriented personality

Work Schedule
  • Monday to Thursday: 8:00 AM to 12:30 PM and 2:00 PM to 6:00 PM
  • Friday: 8:00 AM to 12:30 PM
