Telamon|TRC has taken steps to shift ourorganization into a Trauma-Informed Care (TIC) model. This changes ourperceptions about the individuals that we work with, employees and customers,including families and children. A trauma-informed system of care providesservices that empower employees and customers, including families and children,to feel safe, welcomed and engaged at all levels of organizational interaction.Exchanges that could be potentially retraumatizing, or trigger traumaticreactions require thoughtfulness and non-judgement. Ongoing, as anorganization, we collaborate to educate employees about the effects ofviolence, victimization and trauma on individuals. This model supports aculture of safety for employees and customers, including families and children.
POSITION SUMMARY:
Provide administrative support to the center managementteam in support of organization and program outcomes.
DUTIESAND RESPONSIBILITIES:
1. Providesadministrative support for the center staff including handling and prioritizingoutgoing or incoming phone calls and correspondence (e-mail, letters, packagesetc.) and information requests.
2. Handlesconfidential documents ensuring they remain secure.
3. Drafts andproofreads correspondence.
4. Assists withbookkeeping duties, including but not limited to, processing purchase ordersand time sheets.
5. Assist inplanning events.
6. Performsreception duties including answering phones and greeting visitors.
7. Gathers andkeeps records such as meal counts, in-kind, staff training and volunteerrecords.
8. Maintain filesand records per policies and Head Start regulations.
9. Runs errands.
10. Monitorsoffice supply inventory and ensures office equipment maintenance.
11. Protects thesafety of children by implementing active supervision techniques to ensure nochild is left alone or unsupervised at any time. Ensures safety procedures arefollowed when children are picked up from the center.
12. Assist withthe mobilization and documentation of matching/in-kind funds.
13. Fills in on atemporary basis when a staff member needs to leave the classroom for a shortduration.
14. Assists withplayground supervision, bus loading/unloading and bus monitoring as needed.
15. Works incooperation with supervisor to develop and document progress on professionaldevelopment plan. Actively engages in professional development activities toincrease qualifications in accordance with Corporation's Core Values.
16. Work mayrequire the flexibility to stay until all children have left the program.
17. Translateswhen necessary.
18. Participatesin staff meetings, committees, and training sessions.
19. Perform allother duties as assigned.
SAFETY DUTIES ANDRESPONSIBILITIES:
Ensuringa secure workplace is a collective effort. All employees are responsible foradhering to established safe work practices and completing all mandatory safetytraining by the assigned due date.
SUPERVISORY RESPONSIBILITIES:
This position has no direct supervisory duties butis expected to train or explain work procedures to others.
ROLEQUALIFICATIONS:
Education and ExperienceRequirements:
โ€ข Highschool diploma or G.E.D. is required.
โ€ข ATechnical Diploma in office administration is preferred.
โ€ข Mustbe able to get certification for CPR and First Aid after hire and recertify asrequired.
โ€ข Minimumof 1 year of experience with a high school diploma.
โ€ข Minimumof 6 months of experience with at least a Technical Diploma.

Background Checks:

Positions that Require Driving:
โ€ข Telamon|TRCemployees that are required to drive a personal vehicle for work-related dutiesare to meet the auto insurance liability requirement. The minimum limitsrequired are $100,000 each person bodily injury, $300,000 each accident bodilyinjury and $50,000 property damage. Theinsurance liability requirement covers use of an employee's personalvehicle.
