Job Summary

Provides advanced administrative support of a widely varied and complex nature. Uses Microsoft Office applications extensively to perform complex functions. Handles highly confidential information and unique situations. Coordinates the work of clerical employees when necessary. Interacts with all levels of internal and external customers, including community leaders. Handles multiple complex projects, some of which are multi-departmental or involve external entities. Works independently and exercises considerable discretion and independent judgment.

Essential Functions

  • All team members are expected to be knowledgeable and compliant with Prisma Health's purpose: Inspire health. Serve with compassion. Be the difference.

  • Answers and addresses incoming calls. Directs callers to other personnel as needed. Appropriately determines the urgency of each call and advises the Vice President when necessary. Suggests appropriate referrals. Returns calls as directed by the Vice President.

  • Schedules appointments. Keeps Vice President apprised of calendar events. Reminds and/or assists with required preparation for meetings and appointments. Coordinates travel arrangements and catering as necessary.

  • Handles mail, organizes flow of work and paper and flags paperwork

  • Maintains files and security of confidential information.

  • Performs delegated executive functions. Makes decisions within authorized scope or directing the decision making to the proper authority.

  • Coordinates staff meetings and maintains conference room meeting schedule. Prepares and distributes agendas and minutes.

  • Composes correspondence, memos, and reports. Types, formats and proofreads a variety of material

  • Monitors department budget. Maintains equipment and supplies.

  • Serves as timekeeper for the assigned area. Keys in timekeeping adjustments for payroll purposes each pay period.

  • Performs other duties as assigned.

Supervisory/Management Responsibility

  • This is a non-management job that will report to a supervisor, manager, director or executive.

Minimum Requirements

  • Education - High School diploma or equivalent OR post high school diploma / highest degree earned. Post High School courses in Computers or Office Technology preferred

  • Experience - Five (5) administrative experience
