JOB DESCRIPTION

ENROLLMENT SPECIALIST
Department: Enrollment Specialist
Pay Grade: U110
FLSA Status: Non-Exempt
GENERAL PURPOSE
This position performs skilled clerical work in an office environment with emphasis on custody, residency, truancy, homeless issues, home school, and out of zone requests for student enrollment. Work is performed under regular supervision.
ESSENTIAL JOB FUNCTIONS
  • Assists parents and guardians with providing and verifying proof of residence required for student enrollment.
  • Stays abreast of current local, state and federal guidelines regarding student enrollment, McKinney Vento, Foster Care, religious exemption, and homeschooling.
  • Greets and assists visitors, answers telephone calls, provides information, and receives and dispatches messages.
  • Tracks required documentation and follows up with parents and guardians to ensure materials are received by established deadlines.
  • Composes general correspondence, memorandums, reports, schedules, contracts, and other materials.
  • Audits enrollment and related data for accuracy and completeness and generates reports for regular review.
  • Collects, compiles, and prepares data for records, reports, and other administrative purposes.
  • Assists the Truancy Court Liaison with student referrals, documentation, and related information.
  • Assists with the review and maintenance of homeschooling documentation and records.
  • Enters, updates, and manages data related to the enrollment and withdrawal of students while maintaining the confidentiality and security of student information.
  • Attends training sessions and professional development activities to remain current with system functionality, procedures, and applicable requirements.
  • Provides ongoing training and support for school-based enrollment personnel.
  • Performs other related duties as required or assigned.
MINIMUM QUALIFICATIONS
  • High school diploma or its equivalent.
  • At least two years of clerical/secretarial experience.
  • Ability to work with the general public.
KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of Google Office Suite
  • Knowledge of Microsoft Word, Excel and Access.
  • Knowledge of Synergy.
  • Knowledge of standard office practices, procedures, equipment, and secretarial techniques.
  • Knowledge of business English, spelling, and arithmetic.
  • Knowledge of agency programs and policies.
  • Knowledge of the Code of Virginia and School Board Policy as they relate to school attendance and enrollment.
  • Skill in completing computer operations, keyboarding, and data entry tasks.
  • Skill in operating a variety of office equipment.
  • Ability to type accurately and at a reasonable rate of speed.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to follow oral and written instructions.
WORKING CONDITIONS & PHYSICAL REQUIREMENTS
  • Work environment is primarily inside, where the noise and temperature levels are moderate; the worker is not subject to adverse environmental conditions.
  • This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects.
  • Work requires stooping, kneeling, crouching, reaching, pulling, lifting, typing, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word, and conveying detailed or important instructions to others accurately and quickly; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communication and/or to make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, operations of machines, determining the accuracy and thoroughness of work.
