Job description

Job Title: Chemo Coordinator

FLSA Status: Non-Exempt

Physicians East, P.A.is a team of skilled healthcare professionals united to meet the challenge of delivering quality, cost-efficient, comprehensive healthcare to the people of Eastern North Carolina.

Location & commitments

FT/PT/Temp/PRN role based at our Greenville (other) location, Monday-Friday, 8a.m. โ€“ 5 p.m.

Overtime may be required to ensure patients are taken care, tasks are completed, and calls are returned in a timely manner.

Weekend work is rare but can occasionally be necessary.

Supervision Received: Reports to Director of Human Resources.

Supervision Exercised: None.

Typical Physical Demands: Requires sitting for long periods of time. Working in office environment. Some bending and stretching required. Working under stress and use of telephone, fax and copier required. Manual dexterity required for use of calculator and computer keyboard.

Typical Working Conditions:

Work is performed in an office environment. This position involves frequent contact with staff, patients, and the public.

About the role

The Chemo Coordinator oftentimes is the first person with whom a patient or patientโ€™s family member will interact with, either upon arrival for Chemo Treatment or via phone conversations prior to the visit. The Chemo Coordinator is responsible for ensuring optimization of the patient visit by positively impacting the patients care through knowledgeable, reliable, and courteous interactions. Further, the Chemo Coordinator ensures the accuracy of the patient's demographic and insurance information. The Chemo Coordinator works closely with all care team members and is responsible for performing a variety of office functions including answering incoming phone calls, scheduling appointments, and greeting patients and family members.

Responsibilities

Greet and direct patients.

2. Verify and enter patient demographic and insurance information.

3. Answer incoming calls promptly and courteously.

4. Schedule, coordinate, cancel, and reschedule patient appointments.

5. Screen calls, take messages, answer questions, and provide information.

6. Relay necessary messages to staff via phone notes in Athena.

7. Schedule and coordinate outgoing referrals to offices both inside and outside of Physicians East.

8. Complete and send Request for Referral Appointment Authorizations to Managed Care Representative and notify patient of appointment date and time.

9. Direct patients with delinquent accounts to patient representatives for financial agreements and billing questions.

10. Stay active with insurance updates.

11. Keep forms and supplies up to date and ordered.

12. Keep work area neat and orderly.

13. Able to begin each day at 7:30am and end at 6:00pm. Some late evenings may be required.

14. Work as a contributing member of a team to keep departments running smoothly.

15. Participate in in-service education, staff meetings and other continuing education programs to maintain optimal technical knowledge.

16. Adhere to department and company policies. Maintain confidentiality.

17. Attend safety classes and compliance training as offered by Physicians East, P.A.

18. Serve as the primary point of contact for the Dr. Line.

19. Responsible for all Incoming Referrals.

20. Train and learn the process for Pre-Op for Surgeries and assist as a backup when needed.

21. Assist with other duties or projects as needed.

Candidate requirements

High School Diploma required; Associates Degree preferred. Experience in a medical office environment is required.
