Position Overview

The Executive Assistant plays a critical role in providing high-level, confidential administrative support to senior executives.  This position requires strong organizational capability, proactive communication, sound judgment, and the ability to operate with discretion.  The Executive Assistant manages complex calendars, coordinates travel, prepares presentations and reports, supports board-related activities, and serves as a key liaison between executives and internal/external stakeholders.

This role requires the ability to prioritize, anticipate needs, respond quickly, and maintain a high level of professionalism in a fast-paced environment.

We are currently seeking an experienced, highly organized, and service-oriented Executive Assistant to support our President and Chief Financial Officer (CFO) and select members of the Executive Leadership Team at our Santa Ana, CA headquarters.

Responsibilities and QualificationsKey ResponsibilitiesExecutive Support & Coordination
  • Provide direct administrative support to the President, CFO, and other assigned executive leaders
  • Manage complex calendars, schedule meetings, coordinate logistics, and resolve conflicts proactively
  • Coordinate travel, prepare itineraries, and manage expense reports
  • Maintain advanced awareness of executive priorities, ensuring leaders are prepared for meetings, presentations, and commitments
  • Handle confidential information with the highest degree of discretion and judgment
 Communication & Stakeholder Engagement
  • Serve as a primary point of contact and liaison for internal and external stakeholders interacting with supported executives
  • Draft, edit, and prepare correspondence, memos, presentations, and reports
  • Build positive, professional relationships across departments and functional areas within FBM
 Project Management & Operational Support
  • Assist executives with special projects, cross-functional initiatives, and follow-up actions
  • Track deadlines, deliverables, and milestones to ensure items remain on schedule
  • Support creation and refinement of presentations, dashboards, and executive briefings
 Administrative Excellence
  • Organize and maintain executive files, documents, and associated systems
  • Ensure professional meeting preparation, including agendas, minutes, and action item tracking
  • Anticipate needs and proactively strategize to optimize executive time and effectiveness
  • Provide backup support to other administrative team members as required
 Lowe's Executive Partnership
  • Partner closely with the Lowe's Executive Team EAs to coordinate calendars and schedule meetings involving the President and senior leadership
  • Coordinate with the Lowe's Aviation team to arrange executive travel for:
    • Board of Directors meetings
    • Quarterly Earnings meetings
    • Executive Leadership Team (ELT) meetings
    • Other executive travel as required
  • Serve as the primary point of contact between FBM and Lowe's executive offices, ensuring seamless communication and coordination
 Event Planning & Training Support
  • Plan and execute meetings, training sessions, and special events held at the Home Office
  • Coordinate Regional Vice President (RVP) meetings and events
  • Support District Manager (DM) meetings, leadership summits, and training programs
  • Manage venue logistics, catering, audiovisual requirements, room setup, attendee communications, and event materials
  • Serve as the on-site coordinator to ensure events run smoothly and provide a positive experience for attendees
  • Plan and execute the annual leadership conference, FBM University, serving as the liaison between the hotel, event management company, and leadership team
  • Manage the event preparation timeline, leadership meetings, and action items for participating teams
  • Coordinate event communications, contracts, and travel between FBM and the event management company
  • Travel is required once a year for this event in early spring
 Additional Responsibilities & Miscellaneous
  • In this role, there may be special projects or other job duties assigned
  • Work with the Lowe's Sports & Partnership team to support partnership-related activities
  • Standard work hours begin at 8:30 a.m. The President begins his day around that time and relies on administrative support upon arrival
  • Prepare the President's coffee each morning as part of his daily routine
  • Coordinate and order lunch for the executive team daily, ensuring meals arrive in time for the team to eat by 11:15 a.m., including confirming attendees and placing orders in advance
  • Coordinate with Home Office staff for executive conference and executive kitchen needs
  • Provide extensive personal executive support for the President, including planning personal and family travel, researching destinations, booking flights, hotels, restaurants, activities, and managing other personal requests as needed
  QualificationsEducation & Experience
  • Bachelor's degree preferred
  • 5+ years of experience supporting C-suite or senior executives, preferably in a mid-size or large organization
Skills & Competencies
  • Exceptional organizational and time management skills with the ability to manage and prioritize multiple tasks
  • Strong written, verbal, and interpersonal communication capabilities
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience preparing executive-level presentations
  • Maintain a strong working knowledge of Microsoft Teams, including scheduling and managing virtual meetings. This role is responsible for coordinating and running the company's quarterly Town Hall meetings, including managing presenters, monitoring attendee participation, troubleshooting technical issues, and ensuring a seamless experience for all participants. Demonstrated ability to act with discretion, confidentiality, and sound judgment
  • Strong problem-solving capability and meticulous attention to detail
  • Ability to work independently, collaboratively, and under minimal supervision
  • Adaptability to changing priorities and deadlines in a fast-paced business environment
Additional Requirements
  • Occasional evening or weekend work may be required
  • Ability and willingness to work overtime as business needs dictate
  • Travel up to 5%

Compensation and BenefitsReports ToPresident of FBM, with dotted-line support to the Chief Financial Officer and assigned Executive Leaders  Compensation

The listed pay range reflects the expected base rate for this position. Within the range, individual pay may vary based on experience, qualifications, and work location within state. This is a full-time position with competitive pay and benefits.

  • Base: $35.00 - $50.00 per hour
  • Bonus: 10% Target Bonus
  • Total Compensation (Base + Bonus): The successful candidate could reasonably expect a Total Compensation Package in the range of $75,000 - $95,000
  • Equity: This role is not eligible for equity opportunities, awards or grants
