Job description

SUMMARY

TheTransaction Certificate Administrator is responsible for managing the intake, review, processing, and issuance of transaction certificate requests in support of certified clients and applicable certification schemes on the fiber and textile team. This role serves as a key point of coordination for transaction certificate activities, ensuring that client submissions are complete, accurate, and compliant with program requirements.

The Transaction Certificate Administrator will establish and maintain client files, review supporting documentation for eligibility and conformance, issue transaction certificates, communicate technical and administrative requirements to clients, and track request status to support timely turnaround and accurate fee processing. This position works closely with certification staff and external stakeholders to ensure efficient administration of Global Organic Textile Standard (GOTS) transaction certificate services and alignment with relevant standards and quality assurance procedures. This position additionally contributes to certification activity workflow on the fiber and textile team, accountable for creating reports as needed and general fiber and textile team shared inbox management.

The ideal candidate is highly organized, detail-oriented, comfortable working in a deadline-driven environment, and able to communicate clearly with a wide range of stakeholders. Experience with certification systems, supply chain documentation, and agricultural or textile-related programs is highly valued.

Depending on program needs, this role may support transaction certificate activities associated with one or more sustainability and supply chain assurance standards, including but not limited to:

Organic and other applicable certification-related traceability or supply chain documentation programs

DUTIES AND RESPONSIBILITIES

Maintain a strong and current working knowledge of transaction certificate requirements, associated program policies, and relevant certification standards.

Manage the intake of transaction certificate requests from clients and verify that all required documentation has been submitted.

Track certificate requests, turnaround times, completion status, and associated fees to support timely delivery and accurate billing.

Review supporting records and supply chain documents for compliance with applicable program requirements.

Prepare, issue, and maintain transaction certificates in accordance with internal procedures and external scheme requirements.

Communicate with clients regarding submission requirements, technical criteria, missing documentation, and certificate status, training clients on transaction certificate procedures, submission expectations, and documentation requirements.

Provide responsive and professional support to client portfolio assigned to fiber and textile team via email and telephone

Support maintenance of program documents, templates, internal guidance, quality assurance processes, and data management systems.

Prepare monthly, quarterly and annual reports in relation to standard requirements and inter-agency agreements.

Manage shared inbox per established procedure.

Perform other related administrative duties as assigned.
