Job description

Job Duties:

  • Execute structured business tasks using AI-assisted productivity tools and automation workflows to improve operational efficiency and reduce manual effort.
  • Manage, organize, rename, sort, archive, and maintain digital files and documents to ensure accuracy, accessibility, and consistency.
  • Draft, summarize, format, and generate emails, reports, presentations, and other business documents using approved AI tools.
  • Monitor assigned task queues and process structured requests, including data extraction, template completion, content generation, and document preparation.
  • Review, validate, clean, and organize data within spreadsheets, presentations, and other productivity files while maintaining high standards of quality and accuracy.
  • Collaborate with business teams by retrieving, organizing, and presenting information from approved files and connected data sources.
  • Identify opportunities to streamline business processes through AI and workflow automation, providing recommendations to improve operational efficiency.
  • Provide one-on-one and small group training to executives, managers, and staff on the effective use of approved AI tools, demonstrating best practices that improve productivity and streamline daily work.
  • Develop and maintain user guides, job aids, and training materials to support AI adoption and effective use of enterprise productivity tools.
  • Maintain records of completed tasks, automation activities, and workflow outcomes to support operational transparency and continuous improvement.
  • Escalate ambiguous, sensitive, or high-risk requests for human review and exercise sound judgment regarding appropriate AI use.
  • Maintain confidentiality and comply with organizational policies related to data privacy, information security, and responsible AI usage.
  • Participate in ongoing training to develop proficiency with emerging AI technologies, automation capabilities, and enterprise productivity tools.
  • Provide feedback to leadership regarding workflow trends, process bottlenecks, and opportunities to expand automation and improve business operations.

Education and Experience:

  • Currently enrolled in or recently completed an Associate's degree, Bachelor's degree, or certificate program in Information Technology, Business Administration, Computer Science, Communications, or a related field.
  • Experience using Microsoft 365, Google Workspace, or similar productivity applications preferred.
  • Exposure to AI platforms such as Claude, ChatGPT, or similar generative AI tools preferred.
  • Experience organizing digital files, entering data, or supporting administrative processes preferred.

Knowledge, Skills, and Abilities:

  • Understanding of AI language model tools and conversational interfaces such as Claude, ChatGPT, or similar platforms.
  • Ability to interpret natural-language task instructions and translate them into clear, actionable steps within a Cowork environment.
  • Proficiency with file management concepts: folder hierarchies, naming conventions, file types, and cloud vs. local storage.
  • Strong attention to detail, particularly when processing documents, filling templates, or extracting structured data.
  • Comfort operating with minimal supervision on well-defined, repetitive tasks while knowing when to escalate ambiguous situations.
  • Strong written and verbal communication skills
  • Willingness to learn new software tools quickly and adapt workflows as features evolve.
  • Respect for data privacy practices, including not sharing sensitive information beyond authorized contexts.
  • Collaborative mindset with the ability to work alongside human colleagues in a hybrid human-AI team structure.
