Job Description
Performs a variety of duties related to the delivery of Continuing Education classes and management of data for the department. Coordinate online programs, preparation of monthly enrollment reports for the department, communicate class building schedules to other departments. Back-up for our Operations team members, work on special projects, maintains records and files, and other clerical tasks.
Required Qualifications
  • Associate's degree or equivalent experience required; bachelor's degree preferred.
  • Must have at least three years successful related work experience in business, education or related area.
  • Demonstrated ability to organize data, work independently and meet deadlines, and work accurately under pressure. Ability to communicate and relate well with faculty, administrators, students and the general public is critical.
  • Must possess computer proficiency using various software applications, including Microsoft Office Suite Applications.
  • Customer service: The ability to anticipate and proactively address customer needs.
  • Communication: The ability to express ideas clearly and concisely, both verbally and in writing.

Typical Duties and Responsibilities
Core Duties and Responsibilities:
  1. Assist program managers in the performance of daily operations and projects. Centralize operations functions to increase efficiency of processes.
  2. Source of accurate information and guidance for staff in the area of program development and implementation to ensure consistency and compliance with Department of Education, and to maintain department accuracy with CIP numbers, Code Sets, Clock hours, and Contact hours.
  3. Generation of accurate reports for CE leadership and staff, in all areas of CE, to aide in analyzing data and decision-making for progress towards department goals.
  4. Develops and maintains monthly progress reports for CE enrollment, contact hours, grades, and distributes to leadership and staff. Creates monthly and annual year-end data validation reports, as well as year-end data support for performance analysis and data reporting requirements. Creates or advises on the creation of customized reports within CE Student Information System.
  5. Produces data reports for the marketing department for creation of catalogs and brochures. Provides editing and proofing catalogs and brochures; forwards on to marketing department for printing.
  6. Communicates with appropriate personnel regarding CE class schedule for front desk coverage or building closures. Run room schedule reports and approve room reservations in district software for the BTC.
  7. Works within CE department budgets. Prepares budget change orders and journal entries to move money for various programs.
  8. Manage and update class evaluation process.
  9. Manage and coordinate documentation of all core CE operational processes, and ensure compliance. Develop and maintain a Standard Operating Procedures (SOP) manual for the Workforce Division.
  10. Coordinates cross-training of CE operations staff to provide backup coverage.
  11. Supports cross-training for staff in all non-credit areas of the college and satellite locations.
  12. Works on special projects, individually or within a committee, which may include planning, coordinating, researching, creating, or recording information.
  13. Performs other duties as assigned.

CDL Program Specific Duties (Area Focus):
  1. Works with prospective CDL students to ensure they understand clearly how to navigate the pre-requisites for enrollment into the CDL program.
  2. Create badges for new employees at the BTC.
  3. Manage the key check out system for the BTC.
  4. Notify other personnel when appointments have arrived.
  5. Serve as the individual responsible for unlocking and locking the building, as necessary.
  6. Collaborate with the Director of Corporate Training on the compilation and management of paperwork to ensure compliance with all 260E, 260F, and WTED training programs.
