Job description

Seeking a CIRO and Life Licensed Administrative Associate to work in a busy Advisor Office.

General Responsibilities:

  • Assisting Advisor (forms, questions, research, feedback)
  • Coordinate Advisor planning team meetings
  • Greeting clients (drop ins and client appointments)
  • Ongoing training and self-study (modules, admin training meetings, sales meetings and team meetings)
  • Advisor community involvement (meeting prep, events, calendar, mass emails and social media)

Client Service:

  • Answering client inquires (email and phone) and problem solving
  • Maintaining a friendly relationship with clients and prospects
  • Scheduling review meetings
  • Booking client appointments (rebooking, follow up meeting)
  • Maintain client information (statements, income tax information, outside investments, etc.)
  • Creating and updating client binders
  • Client service transactions (purchases, redemptions, address change, beneficiary change, name and ownership changes, cash surrenders, banking changes, policy loans, death claims, etc.)
  • Sit in client meetings as needed to assist and note taking

Client Meeting Prep:

  • Review advisor needs for meeting
    • Review action since last meeting
    • Touch on work to be done
    • Provide client background when necessary
    • Review paperwork to be completed
  • Life Insurance Illustrations
  • Create/update NaviPlan
  • Create/update summary sheet
  • Review and document previous meeting notes
  • Prepare necessary forms/applications
    • Send DocuSign documents to client as needed
  • Provide FactFind document outlining client information that needs updating or obtaining

Client Meeting Follow Up:

  • Update the Client Record
  • Meeting notes (record and save into client data folder)
  • Record follow up tasks in Navigator
  • Complete paperwork and submit to head office for processing (forms and applications)
  • Complete life insurance applications (if applicable) and inform advisor once information has all been populated into electronic application. Advisor is responsible for reviewing the application, completing the Advisor Report and submitting the application.
  • Create processing notes in CRM
  • Ensure Advisor Notes are in CRM
  • Scan and save necessary documents into the client data folder
  • Review meeting with advisor
  • Prepare information document (letter/story/memos) for accountant, lawyer, etc. (if applicable)

General Maintenance:

  • Office project assignment (research, templates, business development)
  • Maintain review schedule and book appointments
  • Maintain working files (if necessary) and purge old documents
  • Maintaining client Database
  • Monitor Life Insurance premiums to come due
  • Researching leads that come into the office and networking with advisor
  • Pending life insurance follow up - daily
  • Premium payment reconciling
  • Bank deposits - GICS & Investments (when applicable)
  • Monitor budget targets with advisor

This opportunity is for an existing vacancy with the company. The anticipated base salary range for this position is $42,500 to $71,000. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a bonus program.
