Job description

ABOUT THE ROLE

Are you exceptionally organized? Do you enjoy checking things off a list, keeping projects moving, and making sure nothing falls through the cracks? Do you pride yourself on responding quickly and staying on top of multiple priorities?
If so, you may be an excellent fit for our Case Intake Specialist position.
This role is the starting point of nearly every employment-based immigration case we prepare. You will work directly with corporate clients and foreign national employees to collect the information, documents, questionnaires, and signatures needed before legal preparation of the case begins.
You won't be expected to know immigration law or answer legal questions—we'll train you on our internal processes. Instead, you'll become an expert at organization, communication, and ensuring every case starts complete, accurate, and on schedule.

KEY RESPONSIBILITIES

  • Serve as the primary point of contact during the initial document collection stage of each case.
  • Request and collect required information, questionnaires, and supporting documentation from employers and foreign nationals.
  • Monitor outstanding items and proactively follow up to keep cases moving.
  • Review submissions for completeness before transferring the case to a Case Manager.
  • Organize electronic case files according to firm procedures.
  • Maintain accurate case notes and status updates in the firm's case management system.
  • Coordinate with Case Managers to ensure smooth case handoffs.
  • Escalate legal questions or unusual situations to the assigned Case Manager.
  • Meet internal response-time expectations and help ensure client deadlines are achieved.
  • Communicate professionally and courteously with employers, foreign nationals, Case Managers, and other team members
  • Assist with additional administrative and operational projects as needed.

QUALIFICATIONS

  • Highly organized—to the point where incomplete checklists, unanswered emails, or missing documents genuinely bother you. You naturally follow up until every piece is accounted for.
  • High school diploma or equivalent required.
  • College degree is a plus, but not required.
  • 1+ years of office, administrative, customer service, healthcare, banking, insurance, or other detail-oriented professional experience preferred.
  • Fast, reliable, and professional written and verbal communication skills.
  • Strong attention to detail and the ability to follow established processes consistently.
  • Strong computer skills and ability to learn new software.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Good judgment about when to continue following a process and when to escalate an issue.
  • Dependable, self-motivated, collaborative, and eager to learn.
  • Prior immigration or legal experience is not required.
