Position Summary

Join our established design firm as our FF&E Purchasing Manager where you will collaborate closely with internal project teams and foster strong vendor relationships. In this role you will handle the procurement process and are responsible for ensuring efficiency in transactions with the project designer accounting manager and vendors. This role is pivotal in advising the project team on quotation procurement schedules expediting and installation. The success in your role will uphold our commitment to design excellence.

In addition, you may assist the project manager with scheduling, developing work plans, creating cartoon sets, and ensuring QA/QC throughout the project. What you will do:

  • Prepare FF&E package documentation (i.e. FF&E specifications, custom furniture drawings, furniture plan layouts and coordination with interior architectural plans). 
  • Develop creative and technically sound solutions to design challenges, ensuring design excellence
  • Finalize design details with the lead designer to obtain proper pricing and request vendor quotes.
  • Review vendor quotes for proper lead times pricing delivery and freight costs.
  • Work with the Project Team and Accounting to prepare proposals fund requests and process purchase orders deposits and final balance due payments to vendors.
  • Integrate quality assurance/control processes and company standards, coordinating with Project Managers
  • Submit for the lead designer's review submittals including strike-offs CFAs and finish samples and coordinate the timely return of the submittal response.
    Maintain order logs and create purchase reports per project showing status updates potential delays or schedule impacts.
  • Maintain project schedules and ensure timely delivery of project documents
  • Demonstrate strong conceptual design, space planning, and ability to detail constructable design ideas
  • Attend site walks and Construction Administration meetings, sharing lessons learned to improve project coordination
  • Lead collaboration within the project team, generating and communicating design ideas and solutions
  • Ensure BIM standards are applied, oversee QA/QC procedures, and resolve clash detection issues
  • Consult with project team on procurement scope schedule and budget.
  • Coordinate vendor payments within the established accounting timeline.
  • Facilitate expediting of goods and services procured and manage all related documentation.
  • Coordinate shipment logistics through vendors or shippers to ensure arrival of merchandise on site on time and in perfect condition.
  • Oversee and document all incoming and outgoing inventory.
  • Schedule and assist with project installations including warehousing site delivery and installers.
  • Manage post-installation situations in a timely manner; follow up with vendors if product does not meet established standards.

Required Qualifications:

  • 8 years of professional interior design experience 
  • Must have strong proficiency in FF&E (purchasing/procurement). 
  • Undergraduate Degree in Interior Design
  • Proficient in spec writing and industry spec software (such as StudioDesigner). 
  • Comprehensive technical knowledge with strong communication, collaboration, and organizational skills
  • Proficient in Revit and knowledgeable in Bluebeam with strong proficiency in A/E/I/P software
  • Expertise in design techniques, tools, and sustainable principles for producing precise technical plans
  • Strong problem-solving, decision-making, and attention to detail
  • Excellent written, verbal, and graphic communication skills with the ability to multitask
  • Actively seeks to enhance knowledge and contributes to marketing and business development efforts
