Job description

Reports to the Group Practice Manager or designee and the Midwest Cardiovascular Research and Education Foundation (MCREF). Plans, coordinates and oversees the operational functions of the clinical research program and MCREF activities to ensure efficient study execution, regulatory compliance, organization of foundation events, financial stewardship, and high-quality service. Serves as the operational liaison among investigators, board members, research staff, sponsors, patients, and internal departments. This position emphasizes research operations, project management, Foundation management, fiscal oversight, and process improvement.

Responsibilities
  • Plans, coordinates, and oversees day-to-day administrative operations of the research program.
  • Develops and maintains workflows, standard operating procedures, and operational processes.
  • Coordinates research meetings, agendas, action items, and follow-up.
  • Maintains investigators and research staff calendars and coordinates study-related meetings.
  • Oversees research project budgets, prepares billing, and monitors expenditures working alongside foundation accounting personnel and lead study coordinators.
  • Coordinates research billing activities and collaborates with finance and revenue cycle to ensure compliant research billing.
  • Monitors study financial performance, sponsor milestones, and contract deliverables.
  • Coordinates patient scheduling and follow-up activities to support protocol compliance when needed.
  • Collaborates with investigators, coordinators, sponsors, ancillary departments, and leadership to resolve operational issues.
  • Facilitates conflict resolution among research staff and stakeholders.
  • Assists with the operational metrics, prepares reports, and identifies opportunities for process improvement.
  • Supports onboarding, education, and competency development of research personnel.
  • Coordinates implementation of new studies and operational initiatives.
  • Performs other duties and special projects as assigned.

Qualifications
  • Bachelor's degree required
  • Three to five years of progressively responsible clinical research or healthcare operations experience preferred
  • Project leadership or supervisory experience preferred

Knowledge & Skills
  • Knowledge of GCP, FDA, IRB, and sponsor requirements.
  • Knowledge of clinical research billing compliance.
  • Strong budgeting, financial management, project management, and organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and resolve conflict.
  • Proficiency with Microsoft Office and clinical research systems.

Working Conditions
  • Office environment with occasional travel between Beacon locations.

Physical Demands
  • Requires the physical ability and stamina to perform the essential functions of the position.
