Job description

About Gallatin

At Gallatin, we are rebuilding logistics infrastructure for the national security missions of the United States and allied partners. We build AI systems that determine how logistics decisions are made — not just how they're executed. From factory to foxhole, we operate at the layer where data becomes decisions, and decisions make the advantage.

About the Role

We’re looking for a Proposal & Capture Manager within our Go-To-Market Team to scale Gallatin’s impact across the United States Government. Reporting to the Capture Lead, you will partner directly with the proposal & capture function and the broader Go-To-Market team to double the volume of capture and proposal work Gallatin can run at any given time. You will own end-to-end execution on assigned solicitations — from compliance matrix to color reviews to on-time submission — while supporting capture activities that shape the win before the RFP drops.

As a Proposal & Capture Manager you are passionate, knowledgeable, and curious about artificial intelligence and military logistics. You have a high attention to detail and are an excellent planner. You will own the day-to-day execution of assigned proposals, collaborating cross-functionally to bring the best of Gallatin to our customers in written communication. You should feel comfortable working towards tight deadlines and thrive in ambiguous environments.

You have a bias toward finding not just one-off solutions, but repeatable and scalable ways to ensure we continually improve our process. You have a track record of managing winning submissions across DoD/DoW and civilian agencies (DHS, DOJ, HHS, VA, USDA, and others), ranging from multi-volume RFP responses through quad chart submissions.

What You'll Do
  • Collaborate with the Capture Lead, Head of Business Development, executive stakeholders, and internal subject matter experts to assess Gallatin’s alignment to solicitation requirements

  • Develop and execute detailed proposal plans to ensure Gallatin submits timely and compelling responses across DoD/DoW and civilian agency opportunities

  • Write, edit, and design compelling materials for submission — narrative volumes, past performance, quad charts, white papers, and management volumes

  • Run color-team reviews (Pink, Red, Gold) with discipline and drive revisions to a higher-quality final deliverable

  • Support capture activities for priority pursuits, including research, competitive analysis, customer call plans, teaming strategy, and win-theme development

  • Collaborate with teaming partners to develop wholistic solutions

  • Maintain Gallatin’s proposal library — boilerplate, past performance, resumes, win themes, graphics, and templates — and keep it current as the company grows

  • Establish a cycle of continuous improvement for Gallatin’s capture and proposal development process

What We're Looking For
  • Minimum 5 years of work experience in federal proposal and capture management across DoD/DoW and/or civilian agencies

  • A technical background (education or professional experience with STEM) and track record of working with advanced technology solutions

  • Working fluency with the federal acquisition environment — FAR-based contracting, OTAs, IDIQ task orders, SBIR/STTR, and sources-sought / RFI processes

  • Advanced cross-functional experience and collaborative ability

  • Expert verbal and written communications

  • A track record of going zero to one in a role

  • Ability to operate independently and lead indirectly

  • Must be eligible to obtain and maintain a U.S. government security clearance

Bonus Points
  • Active U.S. government security clearance

  • Prior experience in defense artificial intelligence solutions

  • Prior experience in logistics or sustainment solutions

  • Prior proposal or capture experience inside a defense-tech startup or growth-stage federal contractor

  • Shipley APMP certification or equivalent formal training

Mission and Identity

We are building the system that enables faster, smarter logistics decisions in contested environments, and we're doing it with a team of seasoned entrepreneurs, operators, and technologists who have built and scaled solutions in this space before. We hold ourselves to an extremely high standard. We value clear thinking, direct communication, and the kind of ownership that doesn't stop until something actually works.

Our mission is to create decision advantage when the stakes are the highest. If we succeed, the system doesn't just run; it gets smarter. We're not building AI for its own sake. We're building it because faster, smarter decisions in the most demanding environments on earth can't wait. If you want to work somewhere the stakes are real and the mission is urgent — you'll fit in here.

Why Gallatin?

The logistics infrastructure that supports America’s warfighters and humanitarian disaster responders is overdue for transformation, and we are building it. From defense operations to disaster response, we’re solving the hardest problems that keep missions moving when it matters most. Join a team where the mission is the point.

Compensation

Gallatin offers competitive compensation commensurate with experience. Actual compensation may vary based on experience, skills, and location. In addition to base salary, we offer a generous equity grant, full healthcare coverage, 401k, unlimited PTO, and the perks of working in a high-caliber, mission-driven environment.

Gallatin is an equal opportunity employer. We do not discriminate on the basis of race, color, religion, sex, national origin, age, disability, veteran status, sexual orientation, gender identity, or any other characteristic protected by applicable federal, state, or local law.

This position may require the ability to obtain and maintain a U.S. government security clearance. The successful candidate must be able to work in a classified environment when necessary.

We comply with the United States Department of Labor's Pay Transparency provision.
