City/State: Bronx, New York Grant Funded: No Department: Neurosurgery - Administration Work Shift: Day Work Days: MON-FRI Scheduled Hours: 8:30 AM-5 PM Scheduled Daily Hours: 7.5 HOURS Pay Range: $76,000.00-$95,000.00

Job Summary

The project specialist will work closely with management in leading, maintaining and updating various phases of projects designed to enhance patient care. In addition, the project specialist will be handling their everyday administrative needs such as project management, budgeting, calendaring, meeting planning and other responsibilities as needed. The individual manages high level confidential correspondence and documentation.

Essential Functions

Manage multiple small to medium scale fast-paced projects with short turnarounds. Be able to manage and be an expert in handling process improvement projects to ensure deadlines are met and project is successfully executed.

  • Projects are completed on time with minimal supervision. Prioritize Chair’s and Unified Department Administrator’s requests, and respond quickly but thoughtfully (think through before doing). Pro-actively communicate the status of those requests to the senior leaders as work is completed within the process framework.
  • Communication are clear and to the point. Support management in projects timelines and budget to ensure proposed concepts are executable
  • Ensure that project meet deadlines. Candidate characteristic should reflect of “do-er” and “planner” create a track record in project and time/budget management
  • Pro actively track and record progress if project with minimal direction. Have independent work ethic and drive and know when to escape to leadership
  • Completes all task assigned before expected. Strong organizational, communication skills, both oral and written. Excellent interpersonal skills
  • Communicates efficiently and effectively most of the times within departments and other departments. Provide administrative and office support for the office including but not limited to: reimbursement, credentialing, reporting, billing, timekeeping and marketing and outreach.
  • Office is well maintained, supplies and inventory managed, leadership has administrative support, schedules are organized and coverage is maintained as needed. Communication is professional and timely. Keep track of personnel files, as well keeping a record of excessive lateness and sick call.
  • Keeping files up to date with required license and other records needed for practicing medicine. Order medical equipment when requested by Chair.
  • Submit order request within time frame and correctly to purchasing Dept. Organize and take minutes for meetings on a weekly and monthly basis, based on the needs of Chair and Unified Department Administrator.
  • Type and submit minutes to committee for review after meeting.
