Job description

We are seeking a highly skilled and proactive Administrative Assistant to provide shared support to the Captive Management and Captive Consulting teams. This role is ideal for a professional who thrives in a fast paced, matrixed environment and enjoys working across teams, priorities, and colleague levels.

The successful candidate will be a trusted operational partner, supporting both day to day administrative needs and a wide range of projects. Microsoft 365 proficiency, strong communication, exceptional organization and self-management skills are essential.

Location: Hybrid- Burlington, Vermont (Minimum 3x a week in office)

What the day will look like/Key Responsibilities: 

Administrative & Operational Support

  • Serve as a Super User for Aon Connect entries and maintenance (training to be provided)
  • Prepare and support Executive Leader expense reports
  • Coordinate complex travel arrangements and logistical support
  • Manage calendars and schedule meetings
  • Support mail services including preparing shipping labels and scanning mail
  • Manage and respond to Bridger inquiries
  • Order office supplies
  • Serve as a critical and professional team member within the broader Admin support team, supporting the Office Manager and Operations Coordinator as needed.

Project & Business Support

  • Schedule and support meetings and events, including:
    • Order, set-up, etc. lunches and/or other refreshments for client and other meetings
      Post meeting clean-up
    • Assist guest upon their arrival and during their stay
    • Assist with arranging other ACIM meetings and Conference events, under the guidance and support of the Operations Coordinator and Office Manager
  • Support office leaders in the areas of colleague onboarding, training initiatives, and staff scheduling by:
    • Replication of Microsoft Planners for new joiners (colleagues and clients),
    • Assisting with system access requests,
    • Sending training invites, survey requests, etc.
    • Compile and distribute time report data.
    • Assist with creating PowerPoint or other materials
  • Support the maintenance of SharePoint sites, Excel spreadsheets, databases, PowerPoint presentations, and Word documents, under the guidance of the Operations Coordinator and/or other leaders.
  • Provide business development and consulting support, including:
    • Pipeline updates
    • Aon Connect maintenance
    • Campaign management support
    • Marketing materials coordination

Document & Information Management

  • Support the management of shared drives and SharePoint sites, including:
    • File cleanup and reorganization
    • Ongoing document management and maintenance
  • Perform PDFtoWord conversions and document formatting as needed
  • Maintain version control and ensure consistency across shared materials

This role plays a critical part in enabling colleagues across Captive Management and Captive Consulting. The Administrative Assistant will support operational excellence, effective communication, and seamless coordination across teams—contributing directly to the success and visibility of our captive and consulting businesses.

    • SharePoint, Word, PowerPoint, Excel, Planner, OneNote, and Copilot
  • Strong organizational and attention to detail skills, with the ability to manage multiple competing priorities
  • Strong written and verbal communication skills, with ability to maintain confidentiality
  • Ability to comfortably work with individuals at all levels of the organization
  • High attention to accountability and commitment to quality
  • Ability to adapt quickly and reprioritize as business needs evolve
  • Professional discretion in handling sensitive and confidential information
  • Skills: Telephone triage; proofreading

Pay Transparency Laws:

The salary range for this position (intended for U.S. applicants) is $26-$30 per hour. The actual salary will vary based on applicant’s education, experience, skills, and abilities, as well as internal equity and alignment with market data.  The salary may also be adjusted based on applicant’s geographic location.
