This role serves as the communication hub between project managers, operations, field personnel, fleet, and customers to ensure projects are staffed, scheduled, and executed efficiently. Success in this position requires excellent organizational skills, the ability to manage multiple priorities in a fast-paced environment, and strong problem-solving abilities to quickly adapt to changing customer and operational needs.
Project Coordination
  • Support Project Managers with planning, scheduling, and execution of industrial and environmental service projects.
  • Coordinate manpower, equipment, materials, and subcontractor resources to meet project schedules.
  • Maintain project documentation, including job packets, schedules, budgets, scopes of work, permits, and project files.
  • Monitor project progress and communicate schedule changes, risks, and resource needs.
  • Assist with project budgeting, issue tracking, and risk management.
  • Order project supplies and maintain inventory records.
  • Ensure project information is accurately maintained within company software systems.

Operations Scheduling & Dispatch
  • Schedule industrial cleaning, environmental services, hydro blasting, vacuum truck, and waste transportation projects.
  • Coordinate daily assignments for field crews, CDL drivers, supervisors, and specialized equipment.
  • Optimize crew schedules, truck routing, and equipment utilization to maximize efficiency and profitability.
  • Adjust schedules throughout the day to accommodate emergency response work, weather delays, customer requests, equipment availability, and staffing changes.
  • Coordinate waste transportation and disposal logistics while ensuring compliance with local, state, and federal regulations.
  • Identify scheduling conflicts and proactively resolve operational issues before they impact customers.
  • Work closely with Sales, Operations, Fleet, and Project Management teams to prioritize customer needs and maximize production capacity.
  • Assist with after-hours emergency scheduling on a rotating basis, as required.

Qualifications
  • Three or more years of experience in project coordination, scheduling, dispatch, logistics, transportation, or operations management.
  • Experience coordinating multiple crews, vehicles, equipment, or concurrent projects.
  • Strong understanding of scheduling, logistics, fleet utilization, routing, or transportation operations.
  • Experience in industrial services, environmental services, construction, waste management, utilities, or related industries preferred.
  • Excellent organizational, planning, and time management skills.
  • Ability to prioritize multiple projects in a fast-paced, constantly changing environment.
  • Strong analytical, critical thinking, and problem-solving abilities.
  • Excellent verbal and written communication skills with the ability to collaborate across departments.
  • Proficiency with Microsoft Office (Excel, Outlook, Word).
  • Experience using scheduling, dispatch, ERP, project management, GPS fleet tracking, or transportation management software preferred.
  • Valid driver's license with an acceptable driving record.

Preferred

  • CAPM, PMP, or other project management certification.
  • Experience dispatching CDL drivers and coordinating heavy equipment.
  • Knowledge of DOT regulations and driver scheduling requirements.
  • Familiarity with hazardous waste transportation or environmental regulations.
