We are looking for an experienced Executive Assistant to provide high-level administrative support to senior leadership in Waukesha, Wisconsin. This Long-term Contract position is based in the machinery manufacturing industry and requires an individual with relevant experience who is detail oriented and can manage competing priorities, protect confidential information, and keep executive operations running smoothly. The role will partner closely with senior leadership by coordinating schedules, travel, communications, presentations, and research while maintaining strong relationships across the organization and with external contacts.
Responsibilities:
• Coordinate complex executive calendars, schedule meetings and events, and proactively resolve conflicts to keep priorities on track
• Arrange domestic and international travel plans, secure accommodations, and complete expense documentation accurately and on time
• Prepare presentations, reports, agendas, spreadsheets, and other business materials using Microsoft Office tools
• Support board-related and executive communications by drafting correspondence, organizing meeting materials, and following up on action items
• Serve as a central point of contact for internal teams and external partners, ensuring timely communication on projects and requests
• Handle highly sensitive business matters with care, sound judgment, and strict confidentiality
• Conduct research, gather information, and summarize findings so executives are prepared for meetings and strategic discussions
• Assist with special projects and additional administrative needs while working effectively in a fast-paced environment• Proven experience providing executive-level administrative support to senior leaders or C-suite stakeholders
• Strong calendar management and scheduling skills with the ability to coordinate multiple priorities simultaneously
• Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, for preparing reports and presentation materials
• Demonstrated ability to arrange travel, manage meetings, and process expense reporting with accuracy
• Excellent written and verbal communication skills and confidence interacting with employees and external contacts at all levels
• Strong organizational skills, attention to detail, and the ability to meet deadlines in a dynamic environment
• Ability to exercise discretion and maintain confidentiality when handling sensitive information
