We are looking for a motivated and organized Project Administrator to join our growing team. This entry-level position provides administrative support to our Project Coordinators by managing project documentation, billing, change orders, as-built documentation, and estimating support. This role allows our Project Coordinators to focus on managing field operations, customer relationships, and successful project execution.

No telecommunications experience? No problem. We provide comprehensive training for candidates with strong administrative skills, a willingness to learn, and a desire to build a long-term career in the telecommunications construction industry.

Position Summary

The Project Administrator is responsible for supporting multiple telecommunications construction projects by handling the administrative and documentation functions required throughout the project lifecycle. This position plays a key role in maintaining accurate records, ensuring timely customer billing, processing project documentation, and supporting project closeout activities.

Essential Duties & ResponsibilitiesProject Administration
  • Support multiple OSP telecommunications construction projects simultaneously.
  • Maintain organized project files and electronic documentation.
  • Track project milestones, deliverables, and deadlines.
  • Coordinate communication between Project Coordinators, field crews, customers, subcontractors, and internal departments.
  • Prepare reports and project documentation as required.
Billing & Financial Support
  • Assist in preparing customer billing packages.
  • Verify production reports and quantities for invoicing.
  • Maintain billing logs and documentation.
  • Coordinate with Accounting to resolve billing discrepancies and track invoice status.
Change Order Administration
  • Prepare and process change order documentation.
  • Track pending and approved change orders.
  • Collect supporting documentation, including production reports, field notes, and customer approvals.
  • Maintain accurate change order logs.
As-Built Documentation
  • Collect redline drawings from field crews.
  • Prepare and submit accurate as-built documentation.
  • Coordinate revisions with engineering and project teams.
  • Ensure documentation meets customer requirements.
Estimating Support
  • Assist Project Coordinators with quantity takeoffs.
  • Support estimate preparation and bid documentation.
  • Gather vendor pricing and material quotations.
  • Maintain estimating spreadsheets and supporting documentation.
Project Closeout
  • Assemble project closeout packages.
  • Verify completion of:
    • As-built documentation
    • Material reconciliations
    • Customer acceptance documents
    • Final billing packages
  • Track project completion through final customer acceptance.
General Administrative Duties
  • Maintain project tracking spreadsheets.
  • Organize electronic filing systems.
  • Assist with permits and utility documentation.
  • Perform additional administrative duties as assigned.
QualificationsRequired
  • High school diploma or GED.
  • 1–2 years of administrative experience (construction experience preferred but not required).
