JOB SUMMARY:
The Service Purchasing Agent & Expeditor supports Service purchasing requirements while providing expediting and system-maintenance support for the Purchasing team.
The position is responsible for following up on open orders, maintaining accurate supplier commitments and delivery dates in the ERP system, and escalating purchasing exceptions to the appropriate Buyer.
This role does not manage Service work orders or determine technical material requirements.
JOB DUTIES & RESPONSIBILITIES:
Service Purchasing
  • Obtain supplier quotes for requested Service parts, materials, equipment, and services.
  • Process and issue purchase orders from approved purchasing requests.
  • Verify pricing, quantities, part information, required dates, shipping instructions, and work order references.
  • Obtain supplier acknowledgements and confirm pricing and delivery commitments.
  • Communicate quote and purchasing information to the requesting Service team.
  • Escalate sourcing, pricing, availability, or supplier issues to the appropriate Service Coordinator and Leadership.

Purchasing Expediting & System Updates:
  • Monitor open and past-due purchase orders across the Purchasing team.
  • Follow up with suppliers for acknowledgements, ship dates, delivery dates, backorders, and tracking information.
  • Identify orders at risk of missing required dates and escalate issues promptly.
  • Update the ERP system with current supplier commitments, expected receipt dates, tracking information, and applicable PO notes.
  • Identify missing, outdated, or inaccurate information on open purchase orders and correct or escalate as appropriate.
  • Assist with cleanup of aged, past-due, cancelled, duplicated, or otherwise unresolved purchase orders.
  • Maintain documentation of supplier follow-up and outstanding purchasing issues.

Buyer Support:
  • Provide transactional and administrative purchasing support so Buyers can focus on sourcing, negotiations, supplier management, and higher-risk procurement activities.
  • Escalate significant price discrepancies, supplier performance issues, alternate sourcing needs, payment/credit issues, and commercial decisions to the appropriate Buyer or Purchasing leader.

Requirements
EDUCATION and/or EXPERIENCE:
  • 2+ years of purchasing, procurement support, expediting, order management, or supply chain experience preferred.
  • Experience creating and maintaining purchase orders in an ERP system.
  • Strong organizational, follow-up, and prioritization skills.
  • High attention to detail and data accuracy.
  • Strong written and verbal supplier communication skills.
  • Ability to manage a high volume of purchasing transactions and open-order follow-up.
  • Proficiency with Microsoft Outlook, Excel, and Teams.
  • Industrial, manufacturing, field service, MRO, or material-handling purchasing experience preferred.

In compliance with pay transparency requirements, the wage range for this role is $49,000 - $60,000 - nonexempt, full time. The position will be paid out on an hourly basis and is eligible for overtime pay. The rate range provided is a general guideline.
