Job Description

We are seeking an experienced Proposal Writer with 5+ years of experience in proposal development, RFP/RFI responses, and complex business writing. The ideal candidate will be responsible for managing and developing high-quality, compliant, persuasive, and client-ready responses to RFPs, RFIs, and other client questionnaires.

The candidate should have strong writing, editing, research, and stakeholder management skills, with the ability to translate complex operational, technical, legal, privacy, security, and regulatory information into clear and compelling responses.

Key Responsibilities
  • Lead the development and submission of RFPs, RFIs, and client questionnaires from intake through final submission.

  • Analyze solicitation requirements, compliance matrices, instructions, evaluation criteria, and customer priorities.

  • Develop response strategies, timelines, content plans, and proposal schedules.

  • Draft, edit, review, and tailor proposal responses based on customer requirements.

  • Conduct research and coordinate with internal stakeholders and subject matter experts to gather required technical and operational information.

  • Develop compliant and client-ready responses covering areas such as:

    • Background screening

    • Global operations

    • Privacy and security

    • Legal and regulatory requirements

    • Implementation and service delivery

    • Integrations and SLAs

  • Manage proposal deadlines, deliverables, and version control.

  • Identify and escalate proposal risks, unclear requirements, content gaps, inconsistencies, and potential overcommitments.

  • Maintain and enhance proposal content libraries, templates, approved responses, and knowledge repositories.

  • Review proposals for quality, accuracy, grammar, formatting, consistency, and brand standards.

  • Participate in proposal strategy sessions and support the development of win themes and response approaches.

  • Work closely with cross-functional teams to ensure accurate and complete proposal submissions.

  • Track proposal metrics, identify content gaps, and recommend process improvements.

Required Skills & Qualifications
  • 5+ years of experience in Proposal Writing, RFPs, RFIs, or complex business writing.

  • Strong experience managing end-to-end RFP and proposal development processes.

  • Experience working with compliance matrices, customer questionnaires, evaluation criteria, and detailed proposal requirements.

  • Excellent business writing, editing, proofreading, and communication skills.

  • Ability to translate complex technical, operational, legal, privacy, security, and regulatory information into clear and persuasive client-facing content.

  • Strong research and analytical skills.

  • Experience coordinating with cross-functional teams and subject matter experts.

  • Strong organizational and time-management skills with the ability to manage multiple priorities and strict deadlines.

  • High attention to detail, quality, accuracy, and compliance.

  • Experience with proposal content libraries, templates, knowledge repositories, and version control.
