HX5 is currently seeking a qualified Program Office Business Process Support in support of the Advanced Training Capabilities Division (AFLCMC/WNR) at Hill Air Force Base in Ogden, UT.
Essential Duties and Responsibilities:
  • Build and maintain a running list of taskers, assign taskers to team members appropriately and, ensure tasks are closed out
  • Gather inputs/documentation, draft responses and facilitate reporting processes to inquiries from various sources.
  • Tracking and coordinating documentation and staff packages for signature/approval
  • Officer Performance Report/Enlisted Performance Report/civilian appraisals/feedback tracking
  • Facilitating and assisting with unit preparedness for unit inspections, and MICT evaluations
  • Identify, collect, synthesize, organize and manage organizational knowledge in support of portfolios and products across the branch.
  • Accumulate, understand, and leverage knowledge about the business activity on behalf of the organization and its stakeholders.
  • Processes, reviews and reports acquisition documents (i.e. MARs, Acquisition Program Baselines (APBs), and Acquisition Decision Memorandums (ADM))
  • Provide guidance, feedback and management of Budget Execution Review preparations and presentations
  • Manage and oversee taskers and suspenses
  • Support management functions, processes using analytical methods and/or techniques to gather, analyze and evaluate information to include, but not limited to, organizational structures and resource requirements, utilization or control; manning requirements; human resources; and DoD and AF program and project analysis
  • Assist with development and implementation of programs to facilitate the identification and improvement of processes using continuous process improvement
  • Assist with Supply Management activities to include accountable and non-accountable supplies and equipment processes, management and accountability; process supply and equipment requisitions; maintaining stores of accountable and non-accountable supplies and equipment; and conducting inventories IAW AFI 23-111, Management of Government Property in Possession of the Air Force, and
  • AFMAN 23-110, USAF Supply Manual
  • Assist with processing military and civilian awards and decorations IAW AFI 36-1004, The Air Force Civilian Recognition Program, and AFI 36-2803, The Air Force Military Awards and Decorations Program, and AFI 36-2805, Special Trophies and Awards; and will ensure appropriate AF Instruction is applied to each award or decoration
  • Assist with statistics analysis and reporting reports and awards policies, directives and regulations
  • Assist with coordination, consolidation, analysis, distribution and monitoring of action items, suspense's and responses
  • Assist with management of organization's workflow
  • Analyze higher headquarters guidance and provide recommendations to Government personnel for completing manpower and personnel documentation
  • Assist with maintenance of unit personnel management roster/unit manning documents and related organizational rosters
  • Draft and maintain office plans and procedures such as maintenance of an accurate organizational baseline, organizational charts, functional statements, mission descriptions and telephone directories

Education and Experience:
Must have one of the following combinations of education and experience:
  • Bachelor's degree and three (3) years of relative experience, three (3) of which must be in the DoD.
  • OR seven (7) years of directly related experience, five (5) of which must be in the DoD.

Preferred Qualifications:
Technical Skills
  • Administrative support for daily program office operations, meeting coordination, and calendar/appointment management.
  • Document and records management, including preparation, tracking, and organization of program materials.
  • Monitor, track, and manage action items, suspenses, and staff packages to ensure timely closure.
  • Scheduling and logistics support for physical and virtual meetings, including background material prep and documentation.
  • Proficient with Microsoft Office Suite for reporting, communication, and collaboration workflows.

Position Type/Expected Hours of Work:
This is a full-time position requiring 40 hours per week and offers a flexible work schedule Monday through Friday during core business hours.

  • Must be able to complete a U.S. government background investigation.
  • Must be able to obtain a Secret clearance.
  • Must be able to travel, including air travel.
