Business Operations Coordinator

Job Summary/Basic Function:

This position manages day-to-day activities to ensure the department is running efficiently and meets the expectations and needs of customers and staff. Assists with the management/administrative aspects and has operational control of a range of projects. May work on assignments related to project development and management initiatives, internal operating procedures, business processes and policies.

This is an internal opportunity open only to current, benefit-eligible employees of Boise State University.

Department Overview:

At Boise State University School of Nursing, we prepare nursing students to provide caring, holistic and quality nursing services to a variety of populations while also facilitating the development of leadership and interprofessional skills. Our experienced faculty and dedicated staff are focused on academic excellence, high touch student services, meaningful scholarly pursuits and engagement with our nursing community.

Level Scope:

Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self-development. Requires theoretical knowledge through specific education and training.

Essential Functions:

60% of the time the Business Operations Coordinator must:

  • Responsible for various processes and liaison with other units such as Human Resources, research support, financials, data management and communication.
  • Directs customer service and support functions. Assists in performing all tasks necessary to achieve the organization's mission and help execute staff succession and growth plans. May lead efforts to recruit new employees with the goal of attracting and retaining qualified individuals. Manages quality assurance programs.
  • Serves as liaison to other team members, including interacting with managers of different areas of the organization, presenting findings to stakeholders and higher management as well as training and supervising new employees and tracking and measuring staff performance.

35% of the time the Business Operations Coordinator:

  • Serves as the first point of contact for the Nursing Administration Office and fields all general calls, emails and visitors.
  • Provides support across the entire school including all undergraduate and graduate programs.
  • Handles and processes confidential and highly sensitive files pertaining to SON student, staff, adjunct faculty and /or faculty issues.
  • Serve as the primary backup for processing faculty/staff hires, stipends, payroll, contracts, timesheets.
  • Submits LOA/ICP for adjunct and full-time faculty.
  • Provide backup support with recruitment responsibilities, including composing recruitment announcements and advertisements, creating and modifying and implementing recruitment plans, including working with human resources or management staff to review applicant information, explain application hiring processes, and supporting managers regarding recruitment and selection practices.
  • Coordinate logistics of new employee onboarding general needs such as keys, office preparations, equipment ordering etc.
  • Maintaining faculty and staff database and employment files.
  • Maintain purchase credit card for SON administrative needs as requested.
  • Scheduling appointments, meetings, managing administrative calendars, reserve classrooms and assist with event coordination.
  • Prepare and distribute meeting minutes.
  • Manage office supplies and equipment.
  • P&T system coordinator backup assistance with faculty 180 scholarly activities report.
  • Oversee collection distribution of office mail packages.
  • Process cards for foundation donors.
  • Order and track SON computer equipment.
  • Building coordinator for the 3rd and 4th floors.
  • Update SON directory.
  • Order and track SON parking passes.
  • Google Group maintenance.
  • Hires and supervises daily work of work study students.
  • Act as 2nd point of contact for all SON Affiliation Agreement duties.
  • Direct support for Pre-license Program Director- Meeting minutes and agendas.
  • Convocation Committee main line of support.
  • Preceptor Dinner Committee main line of support.
  • Assist with SON social media content for ad campaigns and engagement.
  • Monitor direct messages (DMs) and comments. Engage with the community to build brand loyalty and respond to customer inquiries.

5% of the time the Business Operations Coordinator:

  • Perform other duties as assigned.

  • Ability to multitask and delegate.
  • Excellent oral and written communication skills.
  • Demonstrated ability to work well under pressure and with tight deadlines.
  • Ability to perform a wide range of duties and tasks.
  • Ability to interact effectively as a member of a team and work collaboratively with faculty and staff.

Minimum Qualifications:

Bachelor's degree or equivalent experience.

Preferred Qualifications:

  • Prefer administrative experience in higher education.
  • Excellent computer skills in Microsoft O/S and applications.
  • Experience with Boise State's HCM and Recruitment applications. Excellent communication (oral and written), interpersonal, organizational and time management skills, with ability to take ownership and complete assigned tasks.
  • Analytical and detail oriented, with excellent problem-solving skills and with the ability to multitask.
  • Strong customer service skills and positive attitude.

Salary and Benefits:

Salary is $55,139.97 annually and is commensurate with experience. Boise State University provides a best-in-class benefits package, including (but not limited to):

  • 12 paid holidays AND the University is closed between Christmas and New Year's (requires use of 3 vacation days)
  • Between 12-24 annual paid vacation days for full-time Professional and Classified staff depending on position type and years of service
  • 10.76% University contribution to your ORP retirement fund (Professional and Faculty employees)
  • 11.96% University contribution to your PERSI retirement fund (Classified employees)
