  • Communicate on behalf of advisors' time-sensitive needs
  • Other duties as assigned

Personal Assistant

  • Manage personal appointments and commitments
  • Handle personal correspondence and communication
  • Assist with household vendor coordination and service scheduling
  • Monitor and pay personal bills, as authorized
  • Serve as a trusted point of contact for personal matters requiring discretion and confidentiality

  • Assist with onboarding of new employees
  • Maintain personal records and employee documentation
  • Support payroll processing and benefits administration
  • Coordinate employee recognition and engagement activities

People & Performance

  • Build working relationships with advisors, support staff, and partners across the firm
  • Lead and develop the firm’s operational team across departments, and play an active role in developing second-line department leaders
  • Coordinate the firm’s meeting cadence — team meetings, leadership meetings, one-on-ones — and ensure each drives clear outcomes
  • Coordinate the performance management cycle: goal setting, reviews, and ongoing accountability
  • Foster clear expectations, strong communication, and ownership across departments
  • Help build a positive, high-performing culture

Operational Execution

  • Maintain and improve systems, workflows, and processes across client service and planning functions
  • Ensure operational consistency across the firm
  • Build infrastructure that scales with firm growth

Strategic Integration

  • Serve as the integrator between firm vision and daily execution
  • Translate partner priorities into actionable plans with clear owners and deadlines
  • Give partners consistent visibility into operational health, team performance, and emerging issues

Qualifications

  • 5+ years of operational leadership experience, including developing emerging leaders into management roles
  • Familiarity with EOS or similar operating frameworks
  • Proven ability to drive team accountability and performance
  • Strong facilitation and communication skills
  • High attention to detail, organizational capability and consistent follow-through
