Operations Manager

Position Summary

The Facility Services Operations Manager serves as a key member of the Operations Team responsible for coordinating daily business operations supporting multiple government and commercial contracts.

Working closely with Executive Leadership, Project Managers, Finance, Human Resources, Business Development, Quality Assurance, customers, and field personnel, this position oversees contract administration, operational planning, staffing coordination, customer support, financial reporting, compliance documentation, and operational systems to ensure exceptional service delivery and contract performance.

This position is ideal for an organized operations professional who enjoys building efficient business processes, solving operational challenges, supporting customer success, and contributing to a growing mission-driven organization.

Job Skills / Requirements

Operations Leadership

  • Coordinate daily operational activities supporting multiple Facility Support Service contracts.
  • Monitor contract performance, staffing levels, scheduling, customer satisfaction, and operational effectiveness.
  • Support contract transitions, start-ups, and continuous operational improvement initiatives.
  • Assist Executive Leadership with operational planning and organizational growth

Contract Administration

  • Maintain contract files, purchase orders, pricing documentation, compliance records, employee clearances, and operational documentation.
  • Load new contracts into operational systems and establish budgets, schedules, Key Performance Indicators (KPIs), and reporting requirements.
  • Participate in customer site visits, contract walkthroughs, pricing development, and proposal support.

Financial & Operational Reporting

  • Collaborate with the Finance Department to support budgeting, payroll verification, invoice preparation, labor analysis, and operational reporting.
  • Monitor labor utilization, equipment costs, consumables, and contract profitability.
  • Prepare operational reports and performance dashboards supporting Executive Leadership decision-making.

Operations Systems Administration

  • Maintain operational data within WinTeam, eHub, Microsoft Teams, SharePoint, and related enterprise systems.
  • Maintain employee records, schedules, asset inventories, vehicle documentation, key logs, access records, and operational databases.
  • Recommend workflow improvements and technology solutions that improve efficiency and accountability.

Customer Relations

  • Serve as the operational liaison between customers, Project Managers, vendors, staffing partners, and internal departments.
  • Participate in customer meetings, quality inspections, safety meetings, and annual contract reviews.
  • Resolve customer concerns promptly while maintaining exceptional customer service standards.

Leadership & Continuous Improvement

  • Support Project Managers and supervisors through coaching, operational guidance, and performance monitoring.
  • Coordinate with Human Resources regarding recruiting, onboarding, staffing support, and workforce planning.
  • Identify operational risks, recommend corrective actions, and implement continuous improvement initiatives that strengthen customer satisfaction and operational performance.

Qualifications

  • Bachelor's Degree in Business Administration, Operations Management, Facility Management, Finance, or a related field preferred. Equivalent experience will be considered.
  • Minimum 3–5 years of progressive operations management, contract administration, facility services, logistics, or related leadership experience.
  • Experience supporting Federal, State, commercial, or service contracts preferred.
  • Experience with budgeting, scheduling, payroll verification, operational reporting, and contract administration.
  • Experience using Microsoft Office 365, Microsoft Teams, SharePoint, WinTeam, eHub, or similar enterprise management systems preferred.
  • Excellent organizational, communication, analytical, and customer service skills.
  • Ability to manage multiple priorities while maintaining accuracy, professionalism, and attention to detail.

Compensation & Benefits

Annual Salary: $60,000 – $65,000 (Commensurate with Experience)
