Job description


The Western Properties (WP) Business Manager, working under the direction of the Resident Controller, is responsible for the payroll maintenance requirements for Hearst Corporation's extensive California real estate and land holdings, including Sunical Land & Livestock, West Coast Realties, 5M Project, 45 Third Street, Wyntoon Estate, Wyntoon Timberlands, Hearst Forests, San Simeon Ranch, Western Lands, and Sansome Clay, Inc. In addition, this position performs monthly accounting duties for 5M Project (5M), 45 Third Street, West Coast Realties (WCR) and Wyntoon Estate, as well as other WP business entities that may from time to time be assigned. This position is hybrid in as much as the Manager will have dual functions.
Specifically for PR primary duties are:
  • Compensation/Payroll:
    • Provides competitive salary analysis for management employees upon request by VP & GM.
    • Employee maintenance, setting up new employees/terminate employees as needed.
    • Processes salary increases.
    • Prepares annual staff and management (MBO) bonuses for review and approval.
    • Allocate Wyntoon Estate tips to each employee during guest season and enter into PR/ADP for tax withholding purposes.
    • Bi-weekly payroll processing, entering hours worked & record employees PTO. Send in "SSL" forms for additional payments.
    • Prepares annual payroll budget for Resident Controller.
    • Maintain/verify PTO balances
    • Year-End & Other Miscellanerous P/R Reporting, including:
      • 1095 Info
      • Total Healthcare costs for W-2s
      • Vehicle Fringe Info
      • PCori Info Reporting
  • Talent Acquisition/Data Management/Employee Relations:
    • Works closely with WP's Vice President & General Manager on the hiring and retention of management employees.
    • Sends out offer letters for both management and staff positions.
    • Maintains WP Employee Handbook and updates employment policies as needed.
    • Has working knowledge of federal, state, and local laws governing employment practices, conflict resolution, and harassment.
    • Maintains Personnel Files.
    • Works with management team and Human Resources to address employee problem resolution.
  • Employee Benefits:
    • Health Insurance Maintenance, setting up new employees/terminate employees and their dependents.
    • Track monthly health claims from Cigna segregated by employee name/department.
    • Allocate monthly Cigna & VSP premiums and claims to each business unit with notification to other Accounting Managers for recording.
    • Prepare annual analysis of monthly claims by business unit for Resident Controller's use in budget process.
    • Provide COBRA information to terminated employees.
    • Process benefit invoices for union employees.
    • Advise employees on how and where to find answers to benefits questions.
  • G/L - Accounting:
    • Monthly Closing of WCR, 5M Project, 45 Third St and Wyntoon Estate with corporate reporting
    • Monthly Account Reconciliations through Oracle ARCS for WCR, 5M, 45 Third St. and other WP business entities as assigned.
    • Other miscellaneous monthly accounting - Cap Ex, A/R Aging etc.
    • Quarterly - Corporate Variance Reports.
    • Preparation of annual operating budget worksheets.
    • Annual - Year End forms, Tax Schedules.

In accordance with applicable law, Hearst is required to include a reasonable estimate of the compensation for this role if hired in California. The reasonable estimate, if hired in Californiaa, is $125,000 - $165,000. Please note this information is specific to those hired in California. If this role is open to candidates outside of California, the salary range would be aligned to that specific location. A final decision on the successful candidate's starting salary will be based on a number of permissible, non-discriminatory factors, including but not limited to skills and experience, training, certifications, and education.
