Job description

VIP Traveler is seeking a highly organized, proactive, and ambitious Business Development Assistant to support our hotel and resort partnership team. This role will work directly with two senior business development managers to help expand VIP Traveler’s portfolio of luxury hotel and resort partners worldwide.

This is an ideal opportunity for someone interested in hospitality, luxury travel, sales, partnerships, and business development who is eager to grow into a client-facing dealmaking role over time.

About VIP Traveler

VIP Traveler partners with leading luxury hotels and resorts to create high-impact campaigns that drive awareness, engagement, and incremental bookings from affluent travelers. Our partnerships combine compelling storytelling, curated offers, and strategic marketing to introduce properties to a highly engaged audience of travelers.

Role Overview

The Business Development Assistant will play a key supporting role throughout the partnership sales process — from prospecting and outreach through contracting and follow-up. The position combines sales coordination, relationship management, CRM administration, and contract execution support.

Over time, the successful candidate will learn VIP Traveler’s partnership sales process and will gradually take on greater responsibility in conducting pitches and managing partner conversations independently.

Key Responsibilities

Sales & Outreach Support

  • Conduct cold outreach to prospective luxury hotels and resorts via email, LinkedIn, and other channels
  • Research and identify new partnership opportunities and key decision-makers
  • Coordinate introductory calls and meetings for senior business development managers
  • Prepare outreach materials, follow-up communications, and meeting notes

Relationship & Pipeline Management

  • Manage ongoing follow-up with prospective partners
  • Maintain accurate records of outreach activity, communications, and pipeline status within the CRM
  • Track partnership opportunities and help ensure timely movement through the sales process
  • Assist in maintaining organization across active conversations and deal flow

Contracting & Administrative Support

  • Prepare, edit, and send partnership agreements and related documentation
  • Coordinate execution of contracts and ensure all required materials are completed
  • Support internal communication and coordination between departments as partnerships move toward launch

Professional Development & Growth

  • Learn VIP Traveler’s partnership sales strategy and pitch process
  • Participate in partnership calls and presentations
  • Gradually begin leading portions of sales conversations and pitches independently
  • Develop expertise in luxury hospitality partnerships and business development

Qualifications

  • Strong written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple projects and follow-ups simultaneously
  • Professional, polished, and client-service oriented demeanor
  • Comfortable conducting outreach and communicating with senior hospitality executives
  • Self-starter with strong initiative and follow-through
  • Proficiency with CRM systems, Google Workspace, and Microsoft Office
  • Interest in luxury travel, hospitality, media, marketing, or partnerships strongly preferred

Preferred Experience

  • Prior experience in sales support, business development, hospitality, recruiting, account management, or administrative coordination
  • Experience with CRM systems such as HubSpot, Salesforce, or similar is helpful
  • Familiarity with contract administration or sales operations is a plus

Compensation & Growth

This role is designed as a growth-oriented position with meaningful opportunity for advancement into a full business development manager role over time. The ideal candidate is someone who is eager to learn how partnerships are built, negotiated, and managed within the luxury travel industry.
