Role Description:

QuadReal is currently seeking a dynamic individual for the role of Project Coordinator to provide reliable, timely, and professional project coordination and administration support to the Capital & Technical Services Department by assisting with the day-to-day project support, including administrative activities and reporting. The position, based in Calgary, AB, entails working with a diverse group of internal and external stakeholders, design consultants and engineering firms, coordinating general contractors and vendors. The successful candidate will require independent judgment to plan, prioritize, and organize a diverse workload.

Responsibilities:

  • Participate in the pre-construction and contractor procurement process, including assisting in the design development, RFPs, Tendering, reviewing of project budgets and generating CEAR request forms as per QuadReal standards.
  • Coordinate contractor pre-qualification processes and on-going vendor management
  • Assist capital team with building permit applications with input on cost, schedule, constructability and procurement
  • Assist in bid leveling and negotiating contracts with General Contractors and present formal documentation for CEAR approval when required with support from the Manager, Capital Project.
  • Work closely with the capital management team for purchase order creation and contact allocations within QuadReal management platforms/systems (ie. Yardi).
  • Carry out project administration and document control duties including but not limited to Change order management, document control, shop drawing review/filing, meeting meets, weekly reports and project close-out documentation.
  • Maintain project documents by ensuring accuracy and completeness.
  • Assist in managing contractors and consultant teams from construction inception to space occupancy or equipment commissioning.
  • Assist in tracking key project milestones and deliverables and communicate to project stakeholders, including end-user requirements per the lease agreement
  • For Base Building and Turnkey/tenant proposed improvements, assist in reviewing drawings and specifications, conducting technical analyses on proposed designs or design changes to fully define the design requirements, equipment, construction cost and schedule, and operation/life cycle impacts
  • Assist with building related bookings in collaboration with General Contractors/vendors and Building Operations team (ie. Processing of work permits/Work Authorization Forms, Elevator and loading dock bookings, etc.)

Experience and Qualifications:

  • 3-5 years' of proven experience as a construction lead/manager or project coordinator in a property management, general contractor or trade contractor firm.
  • Experience working on real estate CAPEX projects focused on commercial property, industrial, mixed-use and/or multi-family residential is considered an asset
  • Post-secondary education in business administration, project management and/or related program (Degree, Diploma or Certificate)
  • Understanding of project coordination procedures and principles - including contract administration, cost control, project planning and reporting.
  • Fluent in reading construction drawings and specifications
  • Ability to create a detailed work breakdown structure and identify all scope items would be considered an asset
  • Strong organizational skills including attention to details
  • Effective time management skills with the ability to multi-task and prioritize.
  • Excellent written and verbal communication skills
  • Strong knowledge of MS Office (Word, Excel, Power Point, Projects)
  • Working knowledge in Adobe Acrobat Pro, BlueBeam Revu, Yardi and Yardi Construction Manager is considered an asset.
  • Able to travel to project sites.
