Job description

Schedule: 40 hours per week | Monday - Friday | 8:30am - 5pm | No weekends!
Department:  Porter Hills Village | Grand Rapids, MI
What You'll Do:
The Administrative Assistant helps ensure the smooth operation of our senior living community. This role is ideal for an organized and personable professional who enjoys making a difference through administrative support, including scheduling appointments, preparing meeting minutes, and handling a variety of clerical and office tasks. 
  • Take meeting minutes.
  • Assists with scheduling management (schedules meeting, interviews and appointments).
  • Coordinate team appreciation events. 
  • Take phone calls and answers emails.
  • Assistant team members, residents, visitors, etc. 
  • Informs Executive Director of compliance issues and other concerns with residents and team members.
  • Provides back up coverage for reception desk.
  • Must demonstrate discretion and sound judgment when working with sensitive and confidential information.

  • One year of administrative support experience.
  • Must possess computer skills including Microsoft Office and Outlook. Knowledge of Excel is preferred.
  • Must possess excellent communication and customer service skills.
  • Secretarial skills.
  • Experience working with older adults, preferred.
  • Ability to communicate tactfully and effectively in person and on the phone with team members, residents, family members, visitors, and the general public.
